Responsibilities

  • Manage and coordinate calendars using tools like Microsoft Outlook Calendar and Google Workspace to ensure all appointments and deadlines are met.
  • Provide executive administrative support, including drafting correspondence, proofreading documents, and transcribing audio or written notes with accuracy.
  • Assist with event planning for meetings, conferences, or personal occasions by organizing logistics, preparing materials, and coordinating vendors or participants.
  • Handle phone etiquette professionally across multi\-line phone systems, screening calls, taking messages, and directing inquiries appropriately.
  • Perform data entry and bookkeeping tasks using QuickBooks and other office management software to maintain accurate financial records.
  • Oversee office management duties such as filing, organizing documents, managing office supplies, and maintaining a tidy workspace.
  • Support project coordination efforts by tracking progress, preparing reports, and ensuring deadlines are met efficiently.
  • Skills

  • Proven experience in administrative roles with strong office management capabilities.
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Strong typing skills combined with transcription and proofreading abilities to produce clear, error\-free documents.
  • Knowledge of bookkeeping software like QuickBooks along with basic accounting principles.
  • Exceptional customer service skills paired with professional phone etiquette across multi\-line systems.
