Responsibilities

- Prepare and proofread correspondence, reports, and presentations with attention to detail and accuracy.
- Organize travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries.
- Handle incoming calls with excellent phone etiquette, screen inquiries, and direct communications appropriately.
- Assist with event planning for meetings, conferences, or company functions from logistics to execution.
- Maintain filing systems, data entry records, and manage document signing via platforms like DocuSign.
- Support bookkeeping activities using QuickBooks for expense tracking and basic financial record keeping.
- Coordinate projects by tracking deadlines, following up on action items, and ensuring timely completion of tasks.
- Perform office management duties such as supply procurement, managing front desk operations, and overseeing office organization.
- Provide personal assistance including errands, appointment reminders, and other support to ensure the executive’s day runs smoothly.
- Proven experience as a personal or executive assistant with a strong background in office management and administrative support.
- Excellent organizational skills with the ability to multitask effectively in a dynamic environment.
- Proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications (Gmail, Docs), and data entry tools.
- Strong typing skills coupled with transcription and proofreading abilities for accurate documentation.
- Experience with bookkeeping software such as QuickBooks and familiarity with basic bookkeeping principles.
- Exceptional communication skills with professional phone etiquette and customer service orientation.
- Ability to handle multi\-line phone systems efficiently while maintaining professionalism at all times.
- Knowledge of project coordination techniques to manage multiple priorities seamlessly.
- Office experience involving filing systems, clerical tasks, front desk responsibilities, and general office organization.
- Familiarity with electronic signature platforms like DocuSign for document processing.
