Responsibilities

  • Greet visitors warmly and direct them appropriately, ensuring a positive experience from the moment they arrive
  • Manage multi\-line phone systems, screen calls, and relay messages efficiently using proper phone etiquette
  • Maintain a clean, organized front desk area and manage incoming and outgoing mail and packages
  • Schedule appointments, manage calendars, and coordinate meetings using office management tools and Google Workspace applications
  • Perform data entry, filing, and record\-keeping tasks with accuracy and attention to detail
  • Support office management tasks such as supply inventory, document proofreading, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including copying, scanning, proofreading documents, and maintaining office supplies
  • Skills

  • Proven experience in office management or administrative support roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with phone systems and phone etiquette for professional communication
  • Bilingual abilities are highly valued to serve diverse client needs effectively
  • Customer service orientation with the ability to handle inquiries professionally and courteously
  • Experience in medical or dental receptionist roles is a plus, along with personal assistant experience for calendar management and scheduling
  • Knowledge of clerical procedures such as filing, data entry, and record keeping using office software like QuickBooks or bookkeeping tools
