Responsibilities

  • Greet visitors at the front desk with professionalism and warmth, managing multi\-line phone systems with excellent phone etiquette.
  • Handle incoming calls, direct inquiries, and provide exceptional customer service support to clients and staff.
  • Manage appointment scheduling, calendar coordination, and office management tasks using tools like Google Workspace and Microsoft Office.
  • Perform data entry, filing, proofreading, and document management to ensure accuracy and organization across all records.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
  • Support clerical duties such as copying, scanning, mailing, and maintaining office supplies inventory.
  • Provide personal assistant support as needed, including calendar management and task prioritization to optimize workflow.
  • Qualifications

  • Proven office experience with strong organizational skills and excellent computer literacy across Microsoft Office Suite and Google Workspace.
  • Familiarity with multi\-line phone systems, data entry, filing procedures, and general clerical tasks.
  • Bilingual abilities are highly desirable to assist diverse client needs effectively.
  • Prior experience in customer service or administrative roles demonstrating professionalism and strong communication skills.
  • Knowledge of office management practices including calendar management, time management techniques, and proofreading skills.
  • Experience with QuickBooks or bookkeeping is a plus; familiarity with medical or dental receptionist duties is advantageous.
  • Ability to handle multiple priorities efficiently while maintaining attention to detail in a fast\-paced environment.
