Overview

We are seeking a highly organized and detail\-oriented Office Administrative Assistant to join our team. This role is essential in maintaining smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management or clerical support. Bilingual skills are a plus, as well as familiarity with QuickBooks, Microsoft Office, Google Workspace, and multi\-line phone systems. Duties

  • Manage front desk responsibilities, including greeting visitors and handling multi\-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and Google Workspace for report creation, correspondence, and scheduling
  • Assist with calendar management and appointment setting for staff or executives
  • Support bookkeeping tasks using QuickBooks or similar accounting software
  • Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
  • Coordinate office supplies procurement and manage inventory levels
  • Support office management tasks such as organizing files, maintaining records, and ensuring compliance with company policies
  • Perform general clerical duties including typing, photocopying, scanning, and mailing documents
  • Assist with special projects or personal assistant duties as needed to support team members
  • Experience

  • Proven office experience or administrative support background preferred
  • Experience with front desk operations and multi\-line phone systems required
  • Familiarity with QuickBooks, Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets, Calendar) preferred
  • Bilingual abilities are advantageous for communicating with diverse clients or staff
  • Strong organizational skills with the ability to multitask efficiently in a fast\-paced environment
  • Excellent written and verbal communication skills including phone etiquette and customer service experience
  • Demonstrated ability to handle data entry accurately and maintain confidentiality of sensitive information
  • Prior experience in medical or dental receptionist roles is a plus but not required
  • Personal assistant or office management experience will be considered an asset
