Job Summary

We are seeking an energetic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. This vital role involves managing calendars, coordinating projects, handling correspondence, and ensuring smooth office operations. The ideal candidate will be proactive, detail\-oriented, and possess excellent communication skills to facilitate efficient daily activities and enhance overall productivity.

Duties

  • Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and travel arrangements with precision.
  • Provide executive administrative support by preparing reports, proofreading documents, transcribing meetings, and managing correspondence with professionalism.
  • Coordinate projects and events from inception to completion, ensuring deadlines are met and resources are allocated effectively.
  • Handle office management tasks including filing, data entry, bookkeeping using QuickBooks, and overseeing office supplies inventory.
  • Maintain professional phone etiquette while managing multi\-line phone systems and screening calls efficiently.
  • Organize files and documents through meticulous filing systems, both physical and digital, ensuring easy retrieval.
  • Support client interactions with excellent customer service skills, including front desk duties and handling inquiries promptly.
  • Utilize Office Suite tools such as Microsoft Office applications for document creation, editing, and presentation development.
  • Facilitate the signing of documents via DocuSign or similar platforms while ensuring confidentiality and accuracy.
  • Experience

  • Proven experience as a Personal Assistant or in an administrative support role with a focus on executive assistance.
  • Demonstrated proficiency in office management tasks including bookkeeping with QuickBooks, data entry, filing, and clerical duties.
  • Strong organizational skills with the ability to multitask efficiently in a fast\-paced environment.
  • Excellent typing speed combined with transcription skills for accurate note\-taking and document preparation.
  • Familiarity with project coordination tools and event planning logistics to support various initiatives.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and multi\-line phone systems.
  • Prior experience providing exceptional customer service at the front desk or via phone communications.
  • Knowledge of office procedures such as proofreading documents, managing calendars with Microsoft Outlook Calendar, and handling confidential information responsibly.
