#### Position Description
The Registrar manages student intake, enrollment, and records while supporting families with scholarships, tuition, and documentation. This role ensures accurate data in PuderAI, processes transcripts and withdrawals, maintains compliance with school policies, and provides responsive support to students and parents.

#### Job Expectations
#### Student Intake \& Enrollment
Manage the intake process for new students, including the collection of required documentation.
Guide parents through the scholarship application and renewal process.
Track approvals, address scholarship\-related issues, and confirm school enrollment status for eligibility.
Serve as the liaison between families and the school for all scholarship matters.
Process initial private\-pay tuition payments.
Build and maintain both physical and digital student files, including document scanning.
Inform the parent about the upcoming school\-wide events.
Update and maintain only the holding tank for pending / new enrollments.
Process student credit breakdowns and request student transcripts.
Handle summer school enrollment and related documentation.
Ensure the Registration Area is fully stocked with necessary materials.
Student Records \& Data Management
Input student information into the PuderAI database.
Verify and update student account information regularly in PuderAI.
Make a copy of the report card \& place it in the academic section of the student file.
Manage requests for official transcripts for current students and alumni
Ensure the Dean’s signature is obtained once the student's files are completed every Thursday
Maintain and archive student files in compliance with school policies.
Process withdrawal cards and ensure student files are properly closed.
Submit IEPs to Asst Superintendents for approval and track progress.
Send VR applications to the VR Dept
#### Family \& Student Support
Serve as a point of contact for student and parent inquiries, including financial assistance needs as needed.
Support with supplemental services (enrollments) if necessary.
Follow up with inactive GRAD Program students after teacher outreach.
#### Administrative \& Supplemental Duties
Maintain accurate and organized filing systems for all student records.
Ensure the work area is neat, organized, and fully stocked.
Registrar \+ Tuition Navigator Teamwork Expectations
Daily Sync on Enrollment \& Funding
Meet every day for 30 minutes at the end of the day.
Review students added to the Holding Tank (Registrar updates)
Review students ready to move to the Enrollment tab (TN updates)
Address pending files, missing documents, or funding approvals that may delay start.
#### Intake and Funding Handoff
Registrar: Completes intake, collects all required documents, assists with the scholarship applications, and ensures the file is signed by the Deans every Thursday.
TN: Moves the student from the Holding tank to the Enrollment Tab.
Both confirm together that the student is “ready to start.”
#### Scholarship \& Payment Status
Registrar: Updates the holding tank only and tracks scholarship documentation progress.
TN: Tracks EMA entries, payments, invoices, and parent approvals.
During daily sync, both cross\-check the holding tank and funding tracker to ensure no student is stuck.
#### Family Communication Flow
Registrar: First point of contact for enrollment documents, scholarship paperwork, and file questions.
TN: Point of contact for payments, funding approvals, and invoice issues.
If families ask the wrong role, staff should immediately loop in their partner instead of trying to solve it alone.
#### Problem Escalation Together
Any “at\-risk” student (missing documents, pending funding, late payment) must be flagged in the daily sync.
Registrars and TNs jointly notify Deans if a student cannot start or continue due to incomplete docs or funding delays.
#### Accountability \& Support
Thursday Checkpoint: Registrar ensures all files are signed by Deans. TN ensures all related funding entries are updated.
Both Registrar \& TNs are responsible for ensuring student account information in PuderAi is accurate and up\-to\-date.
