Position Overview

We are seeking an experienced Corporate Legal Assistant to support administrative operations, engagement management, billing oversight, matter lifecycle management, and workflow coordination.

This is not a receptionist role.

This is a structured operational support role designed to ensure matters are opened correctly, engagements move efficiently, time is captured, billing flows properly, and client communication remains proactive.

We are hiring immediately and are seeking a candidate who can onboard quickly and operate with minimal supervision.

Core ResponsibilitiesClient Intake \& Engagement Management

● Track all prospective new client (PNC) inquiries

● Maintain referral and marketing source tracking

● Prepare and send engagement agreements

● Follow up on unsigned agreements

● Confirm retainer receipt prior to matter activation

● Maintain signed engagement documentation

Matter Opening \& Lifecycle Management

Opening New Matters:

● Conduct preliminary conflict checks (per firm protocol)

● Open matters in Clio

● Assign matter number and billing structure

● Create standardized Dropbox folder structure

● Upload signed engagement and initial documents

Ongoing Matter Maintenance:

● Maintain organized digital file naming conventions

● Update matter status as projects progress

● Monitor open matter aging and flag stalled matters

Closing Matters:

● Confirm all time is entered

● Confirm all expenses are billed

● Generate final invoice

● Mark matter closed in Clio

● Move file to archive

● Ensure retention compliance

Calendar \& Workflow Management

● Manage attorney calendar in Outlook

● Schedule consultations and transactional meetings

● Coordinate multi\-party calls

● Send confirmations and reminders

● Protect billable time blocks

Time Entry \& Revenue Oversight

● Monitor daily attorney time entry

● Identify missing time entries

● Ensure proper time descriptions

● Generate weekly billable hour reports

● Track utilization for attorneys

● Assist in invoice review preparation

Expense \& Billing Coordination

● Assist with expense reconciliation

● Track unbilled client expenses

● Locate missing receipts

● Generate invoice and payment summaries

Client \& Matter Oversight

● Maintain master active matter list

● Assist with structured client communication cadence

● Support referral relationship tracking

Qualifications

● 2\+ years experience in a corporate or transactional law firm

● Experience supporting M\&A or complex business transactions preferred

● Proficiency with Clio or comparable legal billing platform

● Strong Microsoft Word formatting skills

● Strong Outlook calendar management skills

● Highly organized and detail\-oriented

● Comfortable holding attorneys accountable for time entry

● Professional written and verbal communication skills

Compensation

Southern California Remote Range:

$30–$40/hour depending on experience.

Compensation commensurate with corporate/transactional experience.

Pay: $30\.00 \- $40\.00 per hour
