Job Overview

We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive support to the owner of A Rustic Root. This dynamic role involves managing complex calendars, coordinating orders, handling correspondence, and ensuring smooth daily operations. The ideal candidate will demonstrate exceptional administrative skills, a keen eye for detail, and the ability to multitask efficiently in a fast\-paced environment. Duties

  • Manage and maintain detailed calendars of current orders
  • Provide executive administrative support by preparing reports, proofreading documents, transcribing audio or video recordings, and managing correspondence.
  • Coordinate projects and events from inception to completion, ensuring deadlines are met and all logistics are handled seamlessly.
  • Handle office management tasks including filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
  • Serve as the first point of contact via multi\-line phone systems and uphold excellent phone etiquette when communicating with clients, vendors, and internal teams.
  • Oversee personal assistance duties such as personal errands, appointment scheduling, and confidential information management.
  • Skills

  • Proven experience as an executive assistant or personal assistant with strong office management skills.
  • Exceptional organizational skills with the ability to prioritize tasks effectively in a busy environment.
  • Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, QuickBooks, and data entry systems.
  • Excellent communication skills with professional phone etiquette and customer service experience.
  • Strong project coordination abilities to manage multiple initiatives simultaneously while maintaining attention to detail.
  • Experience in event planning and logistical arrangements for meetings or corporate functions.
  • Demonstrated clerical experience including filing, proofreading, transcription, and office experience in a front desk setting.
