MandeLaw PLLC \| Brickell, Miami, FL Full\-Time \| W\-2 \| 100% In\-Person Salary: Starting at $50,000/year, commensurate with experience and qualifications MandeLaw PLLC, a growing law firm located in Brickell, Miami, is seeking a highly organized, intelligent, proactive, and detail\-oriented Portuguese\-Speaking Legal Assistant to join our team. This is a fast\-paced, client\-facing position requiring someone who learns quickly, takes ownership of responsibilities, and can manage multiple clients, documents, appointments, deadlines, and follow\-ups simultaneously. We are willing to train the right candidate. While prior law\-firm experience is preferred, we place significant value onintelligence, organization, initiative, attention to detail, good judgment, and the ability to learn a process after being shown once or twice. The candidate must be fluent in Portuguese and have sufficient English proficiency to read and understand professional and legal documents, identify the type of document, recognize important information and deadlines, and determine the appropriate administrative next step. Responsibilities Manage the attorney's calendar, including consultations, client calls, meetings, hearings, appointments, and deadlines Schedule and confirm client calls and appointments Monitor important dates, deadlines, pending tasks, and follow\-ups Communicate regularly with clients by phone, text/message, and email Request documents and information from clients and consistently follow up on outstanding items Receive, identify, upload, and organize client and case documents Maintain accurate and organized electronic client files Assist with new\-client intake and onboarding Send invoices and payment links and follow up regarding outstanding balances Process and record client payments Update client and matter information in the firm's case\-management systems Use legal software, templates, and established procedures to assist with preparing routine forms, correspondence, and legal documents Assist with immigration forms and document preparation under attorney supervision Assist with litigation and family\-law case organization and document preparation Monitor pending tasks and help ensure cases continue moving forward Provide day\-to\-day administrative and case support to the attorney Required Qualifications Fluent Portuguese Intermediate/working English or higher Ability to read and understand English\-language professional and legal documents sufficiently to identify the document, important information, dates, deadlines, and necessary follow\-up Exceptional organizational skills and attention to detail Strong calendar and deadline\-management skills Ability to learn quickly and retain new processes after being trained Ability to follow instructions accurately and subsequently work independently Strong initiative, judgment, and problem\-solving skills Excellent follow\-through and sense of responsibility Comfortable communicating professionally with clients Comfortable learning and using multiple software platforms Proficiency with Microsoft Word, email, PDFs, and general office technology Ability to prioritize multiple responsibilities in a fast\-paced environment Professional, dependable, punctual, and discreet with confidential information Must be available to work full\-time and in person in Brickell, Miami Highly Preferred Qualifications Candidates with any of the following experience are strongly encouraged to apply: Experience with the Florida Courts E\-Filing Portal Experience filing pleadings, motions, notices, exhibits, and other documents in Florida courts Experience with EOIR/ECAS and Immigration Court filings Experience preparing USCIS forms and immigration applications Familiarity with removal/deportation proceedings Familiarity with Florida family\-law matters, pleadings, motions, and court procedures Prior experience working in a Florida law firm Experience with legal case\-management or document\-management software Spanish is a plus Florida E\-Filing Portal and ECAS experience are highly valued but are not required for an otherwise exceptional candidate who demonstrates the ability to learn quickly. The Person We Are Looking For We are looking for someone who takes ownership and follows through. If a client owes the firm a document, the task should not disappear after the first request. If an appointment needs to be scheduled, it should be followed through until it is scheduled. If a document contains an important date or deadline, that information should be recognized and properly handled. The ideal candidate is someone who can be shown a process once or twice, understands it, and becomes increasingly independent rather than requiring repeated instructions.
