I’m the founder of a stealth technology startup, and I run it from my home in Pleasant Hill. Which means my work and my household occasionally behave like two toddlers fighting over the same crayon. I’m looking for the person who can walk into that situation, calmly pick up the crayon, and say, “Okay. Here’s what happens next.” You’ll be my Executive Assistant, House Manager, and administrative right hand—the person at the center of the work, the household, and the surprisingly large gray area between the two. You could call the role Chief Doing\-This Officer. Why this role exists My business lives inside my home, and my home wraps around my business. A vendor who misses an appointment can steal the same amount of mental bandwidth as a contract that misses a deadline. A package that requires three phone calls can somehow become the day's fourth\-most\-important problem. A team member waiting for an answer can sit quietly in the background of my brain like a browser tab playing music that I can't find. What you'll do Own my calendar and inbox.Complex scheduling, follow\-ups, drafting communications, and occasionally sensitive information. Think air\-traffic controller, except the planes are meetings and occasionally one of them is my dentist. Run the house.Coordinate vendors, repairs, deliveries, errands, and the systems that keep a busy household functioning. If the dishwasher starts making a noise that sounds like it has retained legal counsel, you're the person who gets it handled. Keep remote teams moving.Track what’s open, who owes what, what’s blocked, and what has mysteriously entered the Bermuda Triangle of “I thought someone else was doing that.” Then follow up until it lands. Research and recommend.When I ask you to figure something out, I don't want 14 browser tabs and a dramatic retelling of the internet. I want: What you found. What matters. What you recommend. What you think we should do next. Use AI every day.You’ll use AI tools to research, draft, organize, analyze, and move faster—and you’ll also use them to check your own work. AI is a power tool. You still have to point it at the right wall. See around corners.The best version of this job is noticing the problem while it's still a mildly annoying possibility instead of waiting until it becomes Tuesday. How you think Titles matter less to me than habits. You may be a seasoned assistant. You may be finishing university. You may be returning to work after raising kids. I'm less interested in where you started than in how your brain operates. Here are three mental tests that matter to me: The pilot's checklist A pilot who has flown the same route 1,000 times still uses a checklist. Not because the pilot is incompetent. Because humans are excellent at becoming overconfident immediately before making avoidable mistakes. You understand that “I've done this a hundred times” is not a quality\-control system. You check. You verify. You don't skip Step Six because Step Six has never been exciting. The missing puzzle piece Someone gives you twelve scattered pieces of information. You don't simply hand the twelve pieces back. You figure out the picture. You tell me: “Here's what I found. Here's what matters. Here's what I think we should do.” That ability, to turn information into judgment, is enormously valuable here. Closing the loop Some people can tolerate an unanswered email for six weeks. Those people are not my people. An open loop bothers you. A vendor who hasn't confirmed bothers you. A task marked “waiting” with no follow\-up date bothers you. You follow up. Then you follow up again. Not obnoxiously. Not robotically. Just persistently enough that things actually get finished. Here's the simplest example: I ask you to find me a flight on Airline A. It's sold out. You don't quietly book Airline B from an airport two hours away because technically it gets me there. You also don't hand me the problem and say, “Airline A is sold out.” You come back with three good options, tell me which one you'd choose, and have everything ready for me to say yes. That's the sweet spot. Think independently. Don't invent authority. You’ll also need to be… Curious in a useful way.You like learning things because they help you do something better—not because you've been collecting trivia since 2008\. Comfortable with AI.You don't need to be an engineer. You do need to be curious, practical, and willing to try a new tool instead of staring at it like it just asked you to defuse a bomb. Comfortable in a lively family home. We have a seven\-year\-old and a four\-year\-old. Taking care of them is not part of the job—we have a full\-time nanny. You may, however, encounter Lego in the wild. Treat it as you would a land mine. Able to pass a background check and a drug test.You'll work in our home around our children, so safety and trust are non\-negotiable. You'll also need a clean driving record, although the job involves little to no driving. Bonus points: You know David Allen's Getting Things Done system, or you've independently developed some version of “capture everything, clarify it, and don't let your brain become a junk drawer.” This probably isn't for you if… You want every task broken down into twelve numbered instructions before you begin. You want to be completely left alone and never bothered with context. Being asked to follow a process feels like a personal attack on your creativity. “Mostly done” is part of your vocabulary. You see an unfinished task and think, Someone will probably get to that. If so, no hard feelings.
