Job Overview We are seeking a dynamic and highly organized Office Manager/Administrator to lead the daily operations of our office environment. Responsibilities Oversee daily office operations, including front desk management, multi\-line phone systems, and administrative duties. Manage calendar scheduling for leadership and team meetings, appointments, board meetings, and organization events to optimize time utilization Coordinate event planning efforts for company functions, trainings, and community outreach initiatives to enhance team engagement Supervise administrative staff and support team members with clerical tasks such as filing, data entry, and record keeping Handle vendor invoices, processing invoices through QuickBooks/RAMP or similar accounting software, and tracking receipts and reimbursements, grant payment tracking. Support human resources functions including onboarding new employees, maintaining personnel files, assisting with payroll processing, and managing employee records Assist with budgeting and bookkeeping tasks to track expenses, monitor office supplies inventory, materials and equipment inventory, insurance, and ensure financial accuracy Maintain organized Google Workspace filing systems both digitally and physically to ensure quick retrieval of documents Implement office management best practices to improve efficiency and workflow across departments Qualifications Proven experience in office management or administrative roles within a professional environment. Preference for 10\+ years of Office Management Experience. Strong supervisory experience leading teams or administrative staff effectively. Preference for 10\+ years of staff or team managemenht. Proficiency in QuickBooks or similar accounting software for payroll and bookkeeping tasks. Preference for 3\+ years of accounting software experience. Excellent organizational skills with the ability to manage multiple priorities simultaneously. Effective communication skills with professional phone and in\-person etiquette and customer service orientation. Experience in event planning and calendar management. Preference for 5\+ years of event planning. Knowledge of human resources procedures including onboarding, training \& development, and employee record maintenance.
