Job Overview We are seeking a dynamic and highly organized Secretary to join our team! This vital role ensures smooth daily operations by managing administrative tasks, coordinating schedules, and providing exceptional support to our staff and clients. Your proactive approach and strong organizational skills will help us maintain a professional and welcoming atmosphere, enabling the team to focus on delivering outstanding service and results. Duties Manage Lawn and Landscape schedule (organizing schedule, inputting client request, managing invoices, Tax organizing, bill pay) etc. Operate multi\-line phone systems, answer inquiries promptly, and transfer calls efficiently using excellent phone etiquette Handle data entry, filing, and document proofreading to ensure accuracy and organization of all records Maintain calendars, schedule appointments, coordinate meetings, and manage calendar updates for staff members Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports, correspondence, and presentations Support bookkeeping tasks using QuickBooks and Jobber. Provide customer support by addressing inquiries via phone or email, ensuring positive interactions and timely responses Skills Proven office management experience with strong organizational skills and attention to detail Excellent computer literacy with proficiency in Microsoft Office, Google Workspace, data entry, and general office software Bilingual abilities are highly desirable to serve diverse clients effectively Previous clerical experience in a professional setting is preferred Strong typing skills with high accuracy; ability to proofread documents thoroughly Exceptional time management skills to prioritize tasks efficiently in a busy environment Experience as a medical or dental receptionist or personal assistant is a plus but not required Knowledge of office equipment operation including multi\-line phones, printers, scanners, and fax machines Demonstrated customer service skills with friendly demeanor and professional phone etiquette Join us in this exciting role where your organizational talents will shine!
