The Medical Education Program Specialist is a professional in the administration and management of medical Residency, Fellowship, and/or Medical Student programs. The MEPS is a professional who applies acquired job skills, and knowledge of policies and procedures to complete substantive assignments / projects / tasks of moderate scope and complexity; exercises judgment within defined guidelines and practices to determine appropriate action to effectively administer the residency, fellowship, and medical student programs in the Department of Emergency Medicine. The MEPS utilizes knowledge of medical education to analyze problems and issues of diverse scope and recommends solutions. MEPS is expected to formulate strategies to administer policies, processes, and resources in coordination with the program director and education manager. The MEPS applies acquired skills, process, and policy knowledge to support professional health education program learners, and coordinates program operations, which include teaching and learning activities, projects related to the program administration, program curriculum, learner scheduling, maintaining databases, tracking learner compliance, monitoring regulatory compliance, and supporting program accreditation. The incumbent coordinates implementation of professional health educational activities, which may include program competencies, curriculum, and exams. The MEPS directly supports the residency program director and education director in resident/fellow\-related activities and is responsible for the administrative components of the program, specializing in scheduling. The incumbent acts as a liaison between all stakeholders and responds through verbal and/or written communication to a wide variety of inquiries through interactions with faculty and administration, including the Office of the Dean, Hospital Finance/Administration, and multiple outside accreditation boards. Minimum Qualifications \- For full consideration, applicants are encouraged to upload license and/or certification if required of the position Minimum of 2 years of experience in program coordination, academic administration, or health professions education setting. Possess a current Notary Public commission at time of hire or obtain one within 12 months of the hire date. Bachelor's degree in related area and / or equivalent experience / training. Demonstrated experience managing complex administrative processes, including scheduling, tracking, and compliance\-related activities. Demonstrated ability to manage complex scheduling, data tracking, and compliance\-driven processes with a high level of accuracy and attention to detail. Experience working with database or learner management systems (e.g., MedHub or similar platforms) to maintain accurate records and generate reports. Proficiency with scheduling software (e.g., ShiftAdmin or similar tools) and Microsoft Office Suite (Excel, Word, Outlook). Strong organizational and time\-management skills, with the ability to prioritize multiple competing tasks in a fast\-paced environment. Effective written and verbal communication skills to interact with faculty, trainees, and administrative stakeholders. Ability to interpret and apply policies, procedures, and regulatory requirements. Demonstrated problem\-solving skills and ability to work both independently and as part of a team. Ability to collect, analyze, and report data, ensuring accuracy and completeness for program tracking and accreditation requirements. 3–5 years of progressively responsible experience in graduate medical education (GME), undergraduate medical education (UME), or health professions education program administration. Experience supporting residency and/or fellowship programs within an academic health system. Demonstrated experience supporting ACGME\-accredited programs, including knowledge of accreditation standards, reporting requirements, and program lifecycle activities (recruitment, onboarding, evaluations, and milestones tracking). Familiarity with accreditation and regulatory bodies such as ACGME and specialty boards. Experience preparing for accreditation site visits, maintaining compliance documentation, and supporting audit processes. Ability to analyze program data and generate reports to support decision\-making and continuous program improvement. Experience coordinating large\-scale events or program activities (e.g., recruitment, orientation, graduation, conferences). Strong interpersonal skills with the ability to build collaborative relationships across departments and with external stakeholders.
