The Virtual Property Manager supports the daily operations of R.I.C. Property Management by managing administrative, tenant, owner, and vendor coordination tasks across a mixed portfolio of single\-family, multifamily, office, and retail properties in Washington, DC and Maryland.
This is not a call\-center role and not passive admin work. The ideal candidate is organized, proactive, detail\-oriented, comfortable with systems, and able to think like an owner while executing like an operator.
Core Responsibilities
Tenant Management and Communication
- Respond to tenant inquiries via email, portal, and phone within company response standards
- Coordinate maintenance requests and follow up through completion
- Send rent reminders, notices, violations, and general tenant communications
- Assist with move\-in and move\-out coordination, inspections, and documentation
- Maintain professional, firm, and courteous communication at all times
- Serve as a support point for owner questions and updates
- Assist with preparing owner summaries and statements
- Track and communicate maintenance issues, major repairs, and timelines
- Escalate owner concerns or financial issues to leadership when needed
- Create, assign, and track work orders in the property management system
- Coordinate vendors, contractors, and inspectors
- Collect invoices, verify work completion, and upload documentation
- Track recurring maintenance schedules and compliance\-related repairs
- Assist with listing coordination, showing schedules, and application tracking
- Screen applications based on company criteria
- Coordinate lease preparation and execution
- Track vacancy status and marketing timelines
- Assist with rental license applications, renewals, and inspections
- Maintain organized digital files for leases, inspections, permits, and notices
- Track compliance deadlines and inspection outcomes
- Support Section 8 and affordable housing documentation when applicable
- Maintain accurate records in Buildium, Lofty, Google Workspace, and related tools
- Update pipeline stages, notes, and task tracking consistently
- Assist with SOP adherence and continuous process improvement
- Support leadership with special projects as assigned
- Prior experience in property management, real estate administration, or a related field
- Strong written and verbal communication skills
- Excellent organization and follow\-up skills
- Comfortable managing multiple properties and priorities
- Proficient with Google Workspace and property management software
- Ability to work independently and meet deadlines
- Experience with Buildium or similar property management platforms
- Familiarity with DC and Maryland rental processes
- Experience supporting mixed\-use or multi\-unit portfolios
- Understanding of fair housing and compliance basics
- Full\-time, 40 hours per week
