Responsibilities

  • Manage front desk duties, greeting visitors and clients with professionalism and enthusiasm
  • Operate multi\-line phone systems, handle inquiries, and direct calls efficiently using proper phone etiquette
  • Assist with office management tasks including filing, data entry, and maintaining organized records
  • Support bookkeeping activities using QuickBooks or similar accounting software to track transactions and invoices
  • Coordinate calendar management and schedule appointments for property tours, meetings, and client follow\-ups
  • Provide exceptional customer support by addressing client questions promptly and courteously
  • Prepare correspondence, proofread documents for accuracy, and ensure all communications are clear and professional
  • Maintain office supplies inventory and ensure the workspace remains tidy and functional
  • Support bilingual clients or team members as needed to facilitate effective communication across diverse audiences
  • Experience

  • Prior office experience in property management, real estate, or administrative roles is preferred
  • Demonstrated clerical or administrative experience with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with bookkeeping software such as QuickBooks is highly desirable
  • Excellent computer literacy with the ability to quickly adapt to new software systems
  • Strong typing skills along with attention to detail for proofreading and data entry tasks
  • Effective time management skills to prioritize multiple responsibilities in a fast\-paced environment
  • Personal assistant or office management experience that showcases multitasking abilities and professionalism
  • Bilingual abilities are a plus to support diverse client needs
