The Second Judicial District Court is accepting applications for a customer service focused Court Operations Associate in the Civil/Family Court Division.

Court Operations Associates work individually and in teams to provide customers with a professional, fair, impartial, and accessible court experience. This position provides a high volume of customer service in\-person at the service counter and over the phone for customers of the Civil/Family Court Division of the Second Judicial District, including handling various types of civil and probate cases, such as Major and Minor civil cases, Guardianship/Conservatorships, and Estates. This role requires dedication to providing excellent customer service, strong attention to detail, and the application of sound, quick, independent judgment.

This position involves performing varied clerical tasks and responding to customer requests, while maintaining high levels of customer service, data entry, and technical skills. Work requires the exercise of judgment in accordance with instructions, rules of court, state statutes, court and office policies, and procedures. Work is evaluated for accuracy, completeness, timeliness, and adherence to guidelines and requirements. Positions in this classification receive occasional assistance as new or unusual situations arise. Advice and assistance will normally be provided by a Court Operations Supervisor; a Court Operations Lead Worker and/or a Court Operations Specialist.

This position will work mainly onsite with the opportunity to work remotely, depending on business needs. A reliable internet connection will be required if working remotely.

Responsibilities

The following are examples of major job duties expected of this position.

  • Provide high\-level customer service over the phone, at the counter, and through email and to the public, attorneys, judicial staff, law enforcement, and other agencies, providing accurate and timely information.
  • Review and accept legal documents for completeness, accuracy, and compliance with court rules and statutes.
  • Enter permanent record information into MNCIS (Minnesota Case Information System), ensuring accuracy and completeness of records, while maintaining confidentiality in compliance with local, state, and federal statutes and court rules.
  • Locate and retrieve court cases and case filings and documents as needed.
  • Handle cash transactions, reconcile cash drawers, and maintain accurate records of financial activity.
  • Review reports and take necessary action to ensure compliance with court policies and procedures with a high\-level of attention to detail.
  • Process incoming and outgoing mail.
  • Other duties as assigned by the Civil Supervisor.

  • Graduation from approved high school or equivalent.
  • At least six months’ previous experience providing excellent customer service in challenging situations.
  • Demonstrated ability to handle multiple tasks while meeting a high customer service demand and a high level of accuracy.
  • Possess excellent verbal and written communication skills.
  • Be reliable, accountable, adaptable and flexible.
  • Ability to work respectfully with people from diverse backgrounds, both as customers and co\-workers.
  • Proficient with Microsoft Office programs.
  • Ability to learn computer programs and technology.
  • Access to reliable internet connection while working remotely.
  • Ability to work on\-site at the Ramsey County Courthouse, 15 W Kellogg Blvd, St. Paul, MN, 55102 and the Ramsey County Juvenile Family Justice Center, 25 7 th Street West, St. Paul, MN, 55102\.

  • Ability to establish and maintain effective working relationships with co\-workers, customers, judicial officers, justice partners and others;

  • Ability to work under pressure in a high\-volume, fast\-paced work environment while assuring timeliness and accuracy;

    Preferred Qualifications

  • Court Clerk experience.
  • At least one year of experience processing financial transactions, specifically handling cash and credit card transactions with the public.

Familiarity with court procedures, laws, and terminology.

Working Conditions

Work is performed primarily in an office setting, courtroom or at a public counter. Work involves contact with persons who may be angry, abusive or threatening. The need to work under pressure in a fast\-paced environment while maintaining a calm demeanor and high level of accuracy. Remote work must be conducted in an environment conducive to completion of tasks.

Physical Demands

Work is essentially sedentary with occasional walking, standing, bending, and carrying items up to 25 pounds. Some assignments may require periods of extended sitting, standing or computer use.

Rate of Pay

The expected hiring range for this position for external candidates is $22\.50\-$23\.50/hour based on qualifications and experience.
