Overview

Inclusive church seeking part\-time administrative assistant with options for flexible work schedule. Self\-motivated individual will perform basic office tasks to support all church needs such as preparation of worship materials, congregation communications, record and system maintenance. Working knowledge of Microsoft Office required. Knowledge of Icon software helpful. Website maintenance experience desired. Confidentiality and workplace privacy practices essential.

Duties

A. General Office Tasks

1\. Receives telephone calls, emails and mail and distributes as needed

2\. Welcomes visitors

3\. Schedules meetings and building use

4\. Orders all office supplies as well as giving envelopes, altar guild needs, and other supply needs

5\. Scans/emails weekly Teller Sheet to bookkeeper

B. Coordination/Preparation of Worship Materials

1\. Bulletin preparation; seasonal cover selection and order

2\. Preparation and distribution of propers to Assisting Ministers

3\. Update of Presider’s book, Prayers of the People, Kids Celebrate and all other required materials

4\. Support of all bulletins, presider’s books, and certificates for weddings, funerals and baptisms

C. Congregation Communications

1\. Edit, format, and produce congregation communications including Newsletters and What’s Happening

2\. Coordinate mail and email distribution of communications

3\. Coordinate church directory production

D. Record Maintenance

1\. Record communion slips in Icon system

2\. Record envelope giving in Icon system

3\. Prepare Year End Statements

4\. Update Parish Register

5\. Update Memorial Book

E. Report Preparation

1\. Collect all reports, edit, compile and produce Annual Report

2\. Assist Pastor in compiling Synod Parochial Report

F. Administrative Support for Pastor

1\. Home visit scheduling

2\. Project support as requested by Pastor

G. Provide Support to Congregation Council and limited support to Committees, teachers and staff as needed

H. System Maintenance and Update

1\. Church website\-\-performs basic maintenance and content updates

2\. Icon system database

3\. Phone message system

Completes other duties as assigned

III. Necessary Skills and Abilities

A. Ability to work independently, that is, without close supervision as the pastor is often away from the church during office hours.

B. Ability to start and complete recurring tasks without specific direction, i.e., church bulletins need prepared weekly, The Call needs prepared monthly, Giving needs prepared annually.

C. Moderate skill using a Personal Computer to include familiarity with Microsoft Office Suite products

IV. Confidentiality—must maintain workplace privacy practices

Pay: From $20\.00 per hour
