Main Purpose of Role:
The Legal Assistant will assist the Executive Counsel with carrying out the administrative powers and duties assigned to Executive Counsel by the Commission, including but not limited to, meeting preparation, drafting post\-meeting documents, drafting minutes, maintaining records/files, data entry, legal research, drafting various documents, website maintenance, MDEC filings, compiling reports, training preparation, as well as hearing preparation and attendance.
Essential Duties and Responsibilities:
Assists Executive Counsel with duties before, during and after monthly Judicial Inquiry Board and Commission on Judicial Disabilities meetings, including developing and maintaining a system of monthly tasks including document uploading, document transmission, data entry, data compilation, submission of accurate meeting documents and reports, and coordinating technology and logistics for hosting virtual and in\-person meetings.
Assists Executive Counsel with drafting, review, and/or transmittal of Minutes, reports, correspondence, agreements, Orders, recordings, and various documents.
Assists Executive Counsel with maintaining Executive Counsel?s records for the Board and Commission meetings.
Provide administrative support to Executive Counsel including coordinating daily operations, tracking and sending mail/emails, making and receiving calls, document management, data retrieval, copying, scanning, creating/maintaining filing systems for a myriad of matters, and providing technology assistance to Executive Counsel, Board, and Commission Members. Maintaining inventory and ordering supplies as necessary.
Assists Executive Counsel with drafting and submitting reports and responses to inquiries from the Governor, Chief Justice, the judiciary, nominating commissions, media, and general public. Assists Executive Counsel with preparing onboarding documents for new Board and Commission Members.
Assists Executive Counsel with website maintenance, historical data collection/maintenance, research (including legal), providing memoranda, and drafting documents for presentations, trainings and/or meetings outside of the Commission.
Assists Executive Counsel with preparation for and attendance at hearings and conferences before the Commission and Supreme Court of Maryland. Maintaining hearing records, docket entries, evidence, and charts for hearings.
Assists Executive Counsel with coordination for and managing Commission hearings (location, security, stenographer, audiovisual, technology, etc.) and troubleshooting as necessary.
Assists Executive Counsel with legal research, preparing hearing records, as well as drafting Orders, Findings, Responses and Memoranda.
Assists Executive Counsel with MDEC and other court related filings.
Perform all other duties as assigned by Executive Counsel.
Minimum Qualifications:
Education: High School diploma (or GED equivalent). Some college or coursework in Paralegal Studies preferred.
Experience: Two (2\) years of paralegal or similar legal research experience in a court environment, agency, or litigation\-oriented law firm.
Knowledge, Skills, and Abilities:
Knowledge of:
General office skills and system maintenance (physical and computer files).
Knowledge of legal terminology, court procedures and judicial process in general; knowledge of the Maryland judicial disciplinary process is helpful but not required.
Skill in:
Exceptional attention to detail entailing meticulous review of materials and assignment submissions for accuracy and avoiding errors.
Strong written communication for drafting documents and emails.
Strong organizational and critical thinking.
Exceptional interpersonal skills, conflict management and ability to communicate effectively with members of the Board, Commission, staff, judiciary, attorneys, and the general public.
Ability to:
Ability to maintain strict confidentiality.
Ability to work independently, meet deadlines, solve problems, and work well under pressure.
Must be flexible, amenable to change and have the ability to manage multiple tasks well.
Software and Computer Skills:
Microsoft Word, Excel, PowerPoint, Outlook, Adobe, Lexis, Westlaw, online legal research sources, Time Matters, MDEC, ShareFile, Zoom, Teams, and general online search engines and resources.
Travel Requirement:
Occasional travel throughout the state for meetings, conferences, and hearings.
