We are seeking an energetic and highly organized Virtual Receptionist to serve as the friendly first point of contact for our clients at our clinic. scheduling clients, taking payment and working with our electronic medical record system (charm Health). supporting all health providers in the clinic
Responsibilities
- Answer multi\-line phone systems promptly and courteously, directing calls to the appropriate departments or individuals
- Manage front desk duties remotely, including greeting visitors virtually and handling inquiries via email or chat
- Schedule appointments and calendar management using Charm EHR
- Perform data entry, filing, and maintain accurate records to support office operations
- Provide exceptional customer service support by addressing client questions and resolving issues efficiently, working with client load with mental health and physical health concerns.
- Assist with office management tasks such as organizing files, proofreading documents, and supporting administrative projects
- Handle billing, bookkeeping, or basic health record concerns such as insurance billing, medical record assistance
- Proven office management or administrative experience in a professional setting
- Strong computer literacy with proficiency in Charm Health or other medical related EMR/EHR
- Excellent phone etiquette skills with experience managing humans with mental illness
- Previous experience as a dental or medical receptionist, personal assistant, or in clerical roles is highly desirable
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
