  • What You’ll Do

    The Regional Administrative Assistant provides comprehensive administrative support across Mobile Crisis and Hospital Crisis Services programs in an assigned region. Reporting to the Regional Manager of Program Operations, this role keeps programs running efficiently and in compliance, staying closely connected to regional leadership and program teams.

    In this role, you will:

  • Manage day\-to\-day administrative operations across multiple program sites, including supply coordination, mail handling, and site readiness
  • Monitor and manage shared program email inboxes; draft and distribute internal communications and correspondence on behalf of leadership
  • Coordinate scheduling, logistics, and materials for regional and program meetings; record and distribute meeting minutes and action items
  • Maintain program data in EHR systems (e.g., SmartCare, Avatar) and internal tracking tools; run compliance reports as needed
  • Maintain organized, current program document libraries including SOPs, forms, templates, and reference materials; support version control and document formatting
  • Track staff training completion and compliance deadlines across all regional programs
  • Receive, log, route, and follow up on program\-related invoices and financial documents in coordination with the Finance department
  • Support the Regional Manager with reporting, program launches, and county partner coordination

    Required Qualifications:

  • High school diploma or equivalent
  • Minimum 2 years of administrative or office management experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Strong organizational skills with exceptional attention to detail and follow\-through
  • Ability to work independently, prioritize tasks, and manage responsibilities with minimal supervision
  • Strong verbal and written communication skills
  • Commitment to confidentiality and discretion with sensitive client, staff, and organizational information
  • Preferred Qualifications:

  • Associate or bachelor's degree
  • Experience in a healthcare, behavioral health, nonprofit, or public\-sector setting
  • Familiarity with EHR systems, compliance reporting, or data tracking in a regulated environment
  • Experience with Paylocity or similar HRIS/training management platforms
  • Valid California driver’s license (occasional regional travel may be required)
