Position Overview
Lifetime Women's Health is a 13\-year\-established OB/GYN practice in Suffolk, Virginia seeking a reliable, detail\-oriented Front Office Administrative Assistant to join our team. This is a full\-time, in\-office position with consistent weekday hours and no weekend or evening shifts.
The ideal candidate has front office experience in a medical practice, has run prior authorizations independently, and brings reliability, professionalism, and clear communication to a busy patient\-facing role.
About the Practice
We provide comprehensive obstetric and gynecologic care to women across the Hampton Roads region, including a growing focus on advanced procedures for heavy bleeding management. Our team is small, clinical, and patient\-focused. We work closely together and rely on every team member to do their part.
Core Responsibilities
- Greet patients warmly and manage front desk check\-in and check\-out
- Schedule and reschedule patient appointments
- Manage incoming phone calls and route to the appropriate team member
- Run prior authorizations for procedures, medications, and imaging, accurately and on schedule
- Verify insurance benefits and patient eligibility
- Schedule surgeries and procedures with hospitals and surgical centers
- Manage incoming and outgoing fax communication
- Handle patient inquiries with clarity and professionalism
- Maintain confidentiality of all patient information per HIPAA
- Minimum 2 years of front office experience in a medical practice (OB/GYN preferred)
- Demonstrated prior authorization experience, including procedures, medications, and imaging
- Strong organizational and communication skills, in person and over the phone
- Experience with EHR systems (ModMed experience a plus, not required)
- Reliable transportation and a track record of consistent attendance
- Ability to work independently and prioritize tasks in a busy clinical environment
- Surgical scheduling experience (hospital and surgical center coordination)
- Experience verifying insurance benefits and reading insurance contracts
- Bilingual (Spanish) a plus
- You have run prior authorizations independently and take ownership of accuracy and follow\-through
- You want a stable, full\-time, weekday\-only role in a small practice
- You are detail\-oriented and treat your inbox and queue as your responsibility, not someone else's
- You communicate clearly and professionally under pressure with patients, providers, and insurance representatives
- You prefer a small, accountable team where your work is visible and feedback is direct
- You do not have prior authorization experience or do not have at least 2 years of medical front office experience
- You are looking for remote, hybrid, or part\-time work
- You need flexibility on arrival time or attendance week\-to\-week
- You have had multiple under\-1\-year roles in the last 3 years without a clear explanation
- You are uncomfortable with direct accountability, frequent feedback, or working in a small\-team environment
- $18 to $21 per hour based on experience and demonstrated competency
- Stable schedule. Monday through Friday. No weekends, no evenings.
