Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our CEO in achieving operational excellence and strategic goals. This dynamic role requires a motivated individual who excels in managing complex schedules, coordinating projects, and providing exceptional administrative support. As the right hand to our leadership, you will streamline daily operations, facilitate communication, and ensure the CEO’s time is optimized for maximum impact. Your energetic approach and attention to detail will be vital in maintaining a smooth\-running executive office environment.
Duties
- Manage and maintain the CEO’s calendar using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements with precision.
- Serve as the primary point of contact for internal and external communications, demonstrating professional phone etiquette across multi\-line phone systems.
- Prepare, proofread, and transcribe correspondence, reports, presentations, and meeting notes to ensure clarity and accuracy.
- Coordinate special projects and events, including planning logistics, booking venues, managing vendor relationships, and overseeing event execution.
- Handle office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records both digitally via Google Workspace and physically.
- Support personal assistant duties including managing personal appointments, errands, and confidential information with discretion.
- Facilitate project coordination by tracking deadlines, preparing agendas, and ensuring timely completion of tasks across departments.
- Proven experience providing executive administrative support or as a personal assistant in a fast\-paced environment.
- Strong organizational skills with the ability to prioritize tasks effectively while maintaining attention to detail.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications, and data entry tools.
- Experience with office management functions such as filing systems, front desk duties, and multi\-line phone systems.
- Knowledge of bookkeeping software like QuickBooks along with basic bookkeeping skills.
- Exceptional typing speed combined with transcription skills for accurate documentation.
- Outstanding communication skills demonstrating professionalism in phone etiquette and customer service interactions.
