Job Summary
We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Duties
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Handle correspondence via phone, email, and written communication with excellent phone etiquette and professionalism.
- Assist with event planning for company functions, meetings, and special occasions from start to finish.
- Support project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
- Perform office management duties such as filing, data entry, document proofreading, transcription, and maintaining organized records.
- Utilize QuickBooks for basic bookkeeping tasks including invoicing, expense tracking, and financial record keeping.
- Provide executive administrative support by preparing presentations, managing office supplies, and overseeing front desk operations.
- Conduct clerical tasks such as filing documents, processing paperwork through DocuSign or other electronic signature platforms, and managing multi\-line phone systems.
- Ensure excellent customer service by addressing inquiries promptly and professionally while maintaining a positive office environment.
- Proven experience as a Personal Assistant or in an administrative support role with demonstrated office management skills.
- Strong organizational skills with the ability to multitask efficiently in a fast\-paced setting.
- Proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace (Gmail, Docs), and familiarity with Microsoft Outlook Calendar.
- Experience with QuickBooks for bookkeeping tasks is preferred.
- Excellent typing speed along with transcription and proofreading abilities.
- Knowledge of office procedures including filing systems, data entry, and clerical practices.
- Exceptional communication skills with professional phone etiquette across multi\-line phone systems.
- Ability to handle sensitive information discreetly while maintaining confidentiality.
