Busy law practice seeking a highly organized, professional, and dependable Legal Administrative Assistant / Intake Coordinator to assist with daily office operations, client communications, scheduling, and legal administrative support.
The ideal candidate is proactive, detail\-oriented, comfortable handling multiple responsibilities in a fast\-paced environment, and able to communicate professionally with clients, attorneys, courts, and other professionals. Strong follow\-up skills, organization, and reliability are essential.Legal office experience is strongly preferred.
- Answer incoming calls and communicate professionally with clients, attorneys, courts, and other professionals
- Make appointments for walk\-in and prospective clients
- Conduct initial client intake and prepare intake sheets for attorney consultations
- Follow up with prospective and existing clients
- Coordinate with the receptionist regarding the attorney’s calendar, appointments, and scheduling
- Monitor incoming emails and respond appropriately
- Maintain organized client files and office workflow
- Prepare copies and mailings of legal documents for clients, courts, and other professionals
- Prepare and manage court and client mailings using Mailbox Power and other office systems
- File legal documents with State and Federal Court electronic filing systems
- File, scan, copy, and organize legal documents as needed
- Assist the attorney with general administrative and legal support tasks
- Coordinate and communicate with virtual assistants to ensure assigned tasks are completed
- Assist with maintaining efficient office workflow and daily operations
- Support weekly office marketing and client communication initiatives
- Work Hours Monday through Friday, 10 am to 3 pm
- Must be bilingual in English and Spanish
- Prior administrative experience required
- Legal office experience strongly preferred
- Experience with court electronic filing systems preferred
- Excellent phone, communication, and client service skills
- Strong organizational and time\-management abilities
- Ability to multitask and prioritize effectively
- Comfortable working independently with minimal supervision
- Proficient with email, scheduling systems, and general office technology
- Reliable, professional, and detail\-oriented
- Law office: 1 year (Required)
