Every day is different. You will handle confidential and time‑sensitive information, manage shifting priorities, and serve as a trusted point of coordination across internal teams, members, vendors, and leadership.
Key Responsibilities
Executive \& Administrative Support
- Provide high‑level administrative support to the executive team, including extensive calendar management, meeting coordination, and preparation of materials
- Act as a gatekeeper—prioritizing requests, managing competing deadlines, and ensuring efficient use of executive time
- Draft, proofread, and format correspondence, documents, presentations, and reports with exceptional attention to detail
- Maintain strict confidentiality and exercise sound judgment when handling sensitive information
- Ability to take the lead on projects for Chairman \& Founder to relieve them of the administrative details
- Coordinate complex scheduling, meetings, and conference calls across time zones
- Book and actively manage domestic and international travel, including itineraries, changes, and contingencies
- Prepare and submit expense reports; track expenses and support budget awareness
- Maintain and update internal databases and CRM systems (e.g., High Level) to ensure accuracy and usability
- Research, evaluate, and help implement new tools, software, and workflows
- Coordinate logistics for internal meetings, executive sessions, and external events
- Support event preparation, communications, materials, and follow‑up
- Help ensure seamless, high‑touch experience for members and external stakeholders
- Manage relationships with vendors, partners, and service providers
- Maintain positive, professional relationships internally and externally
- Participate in team meetings, group calls, and brainstorming sessions
- Support cross‑functional collaboration and special initiatives
- Take ownership of special projects as assigned, often requiring independent problem‑solving and follow‑through
- Oversee owner’s office building and related tasks with maintaining the building
- Provide personal assistance to Chairman \& Founder as related to errands, tasks, etc.
- Proactive, energetic, assertive and adaptable—comfortable with change and ambiguity
- Fast‑moving, responsive, and able to work with minimal supervision
- Exceptionally organized with strong prioritization and follow‑through
- Polished, professional, and trusted with confidential information
- A clear, confident communicator who builds rapport easily
- 2\+ years of experience as an Executive Assistant or Administrative Assistant supporting c\-suite level executive leaders
- Strong verbal and written communication skills
- Impeccable grammar, formatting, and attention to detail
- Comfort working in a digital‑first environment with evolving tools and platforms, including AI tools
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, One Drive and SharePoint, LinkedIn
- Experience with Monday.com and CRM systems (High Level strongly preferred)
- Familiarity with web platforms, digital media formats, or social media is a plus
- Bachelor’s degree (BA or BS)
