Job Summary

This role provides reliable, high‑quality administrative support to the EVP, General Counsel, ensuring day‑to‑day operations run smoothly and efficiently. This role is primarily execution‑focused and works best for someone who is responsive, organized, open to coaching, and comfortable supporting a busy executive with clear direction and priorities.

This role emphasizes scheduling, coordination, expense management, and administrative accuracy. Consistent follow‑through, attention to detail, and timely responses are key to success.

Primary Duties \& Responsibilities Administrative \& Operational Support

  • Manage and maintain the EVP’s calendar, including scheduling meetings, resolving conflicts, and updating changes in a timely manner.
  • Coordinate meetings by reserving rooms, setting up virtual links, and distributing materials as requested.
  • Arrange travel logistics as needed and prepare accurate expense reports in accordance with company policies.
  • Support event coordination for internal meetings and team activities (e.g., logistics, invitations, tracking attendance).
  • Perform data entry and administrative updates across systems and trackers.
  • Support timekeeping, attendance, and vacation tracking.
  • Process purchase orders and assist with routine finance or budget‑related administrative tasks.
  • Handle routine inbound requests and inquiries, escalating issues as needed.
  • Execution \& Follow‑Through

  • Execute assigned tasks efficiently and accurately, meeting deadlines and expectations.
  • Follow established processes and instructions while remaining open to feedback and coaching.
  • Track assigned action items and ensure timely completion.
  • Maintain organized records, files, and documentation.
  • Technology \& Tools

  • Use standard office technology and systems effectively (e.g., Outlook, Microsoft Office, expense and scheduling tools).
  • Learn and adopt internal systems and tools as required.
  • Assist with basic reporting or data compilation as directed.
  • Collaboration \& Professionalism

  • Communicate clearly and professionally with internal teams.
  • Maintain confidentiality and discretion when handling sensitive information.
  • Provide backup administrative support as needed within the team.
  • Education and Experience Profile

    * Role not eligible for sponsorship.

  • Associate degree required; Bachelor’s degree preferred.
  • Advanced calendar management skills, including prioritization, conflict resolution, and real‑time adjustments. (this may have been played down in our meeting today but it will be needed)
  • 5\+ years of experience in an administrative or executive assistant role supporting a senior leader.
  • Required Skills

  • Strong organizational skills with consistent attention to detail.
  • Reliable executor who follows direction well and responds promptly.
  • Comfortable working in a fast‑paced environment with changing priorities.
  • Tech‑savvy with common office tools and systems (expertise not required).
  • Professional written and verbal communication skills.
  • Dependable, service‑oriented, and open to learning and feedback.
  • Demonstrated ability to handle confidential information appropriately.
