- Six months experience verifying employment eligibility (I\-9 document completion, identity verification, and E\-verify record entry) and supporting student employment programs.
- Experience providing HR Services in a higher education environment.
- Strong verbal and written communication skills focused on clarity and customer service excellence and strong problem\-solving skills.
- Proficiency in Office365 and HR information systems.
- Exceptional organizational skills with the ability to multitask, prioritize effectively, and adapt to new technologies and procedures.
- Serve as the primary contact for employment eligibility verification process, supporting I\-9 completion, identity verification, and E\-Verify data entry ensuring regulatory compliance for all employees.
- Utilize the E\-Verify system to conduct verifications, monitor records, and prepare compliance reports, initiating proactive follow\-ups on expiring documentation.
- Audit employment eligibility records to identify discrepancies, working collaboratively with employees and departments toward resolution and maintaining regulatory standards.
- Maintain current knowledge of USCIS updates and I\-9 requirements, communicating changes to the Talent Solutions team to support consistent compliance.
- Support background screening for new hires and volunteers as needed, ensuring alignment with university standards, employment eligibility protocols, and compliance.
- Responsible for personnel and I9 file maintenance.
- Daily back\-up to reception during lunch, breaks, and absences. Transferring calls and providing customer service to walk\-in’s.
- Provide HR help desk support via email and in\-person, routing inquiries to the appropriate parties.
- Support Time and Attendance administration with troubleshooting and resolution of timesheet issues.
- Provide administrative support to short\-term HR projects.
- Consistently and proactively communicating critical and time sensitive information to stakeholders.
- Act as the main point of contact for employment eligibility inquiries, delivering clear guidance and prompt responses to departments, employees, and hiring managers to support compliance and onboarding needs.
- Lead communication on eligibility requirements, I\-9 compliance, and background check updates via email, phone, and in\-person consultations, ensuring a supportive and positive experience for all stakeholders.
- Support new hire orientation as a presenter \& moderator, and occasionally as a facilitator assisting with documentation and answering employment\-related questions to ensure a smooth and compliant onboarding process.
- Support student employment programs with ePAF approvals on behalf of HR.
- Responsible for the timely execution, organization, auditing, retention, and purging of employment records pertaining to employment eligibility verification, background screening, and standard personnel files in strict compliance with retention policies and regulatory requirements. Leveraging HR systems for reporting and reconciliation.
- Maintain comprehensive logs to support ongoing record tracking of impending I‑9 status changes, retention schedules, and foreign national re‑verification documentation, ensuring accurate and compliant data management across all employment types.
- Use E\-Verify and HRIS systems to conduct verifications, maintain records, and track compliance deadlines with high accuracy and data integrity.
- Leverage office technology (Office 365, automation, and other tools) to create reports, track employment status, and streamline records management.
- Actively engage in continuous process improvements, applying emerging HR technologies and seeking new methods to enhance data accuracy and process efficiency.
- Contribute to updates on the Student and Foreign National Employment, and Talent Solutions website, improving user accessibility and resources for the university community.

Primary Purpose of Position
Reporting to the Talent Solutions Specialist, the Human Resources Administrative Assistant plays a vital role within our Talent Solutions team, focusing on onboarding \& helpdesk support, personnel and electronic file management, customer service, short\-term project support, and general administrative duties. This role is ideal for a detail\-oriented, proactive professional who thrives in a collaborative, communicative environment, values continuous improvement, and brings a positive, solutions\-focused approach to supporting a university community with different backgrounds.
