Responsibilities

  • Manage bookkeeping duties \& compliance
  • Operate phone systems to handle incoming calls efficiently, transferring or taking messages as needed.
  • Maintain organized systems, both physical and digital, ensuring easy retrieval of documents.
  • Perform data entry tasks accurately using Quickbooks Online, Google Workspace, Notion and other office software.
  • Support calendar management and scheduling for team members, including appointment setting and reminders.
  • Provide excellent customer service by addressing inquiries promptly and professionally, whether in person or via phone or email.
  • Conduct proofreading of documents to ensure accuracy and professionalism before distribution.
  • Support office management tasks such as supply ordering, maintaining office equipment, and coordinating maintenance needs.
  • Handle clerical duties including copying, scanning, filing, and organizing documents efficiently.
  • Offer personal assistant support when needed, including marketing or special project assistance.
  • Experience

  • Proven experience in an administrative or clerical role within an office environment.
  • Strong computer skills with proficiency in, Google Workspace (Docs, Sheets), and data entry platforms.
  • Familiarity with QuickBooks for basic bookkeeping tasks is preferred but not required.
  • Experience managing phone systems and providing excellent phone etiquette.
  • Prior experience in customer service roles enhances the ability to handle inquiries professionally.
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast\-paced setting.
