Responsibilities
- Greet visitors, clients, and staff warmly while maintaining a professional and approachable demeanor.
- Manage multi\-line phone systems efficiently, directing calls accurately and courteously.
- Handle incoming correspondence, including emails, mail, and deliveries with attention to detail.
- Maintain appointment calendars and schedule meetings using calendar management tools.
- Perform data entry tasks with high accuracy using Microsoft Office, Google Workspace, and other office software.
- Support office management duties such as filing, proofreading documents, and organizing supplies.
- Provide customer support by addressing inquiries promptly and professionally while ensuring excellent phone etiquette.
- Assist with basic bookkeeping tasks using QuickBooks or similar accounting software when needed.
- Maintain a clean and organized reception area to promote a welcoming environment.
- Support administrative tasks including typing reports, managing office records, and supporting personal assistant duties as required.
- Prior office or clerical experience is preferred; experience in medical or dental reception is a plus.
- Demonstrated proficiency in computer skills including Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools.
- Strong organizational skills with the ability to multitask efficiently in a fast\-paced environment.
- Excellent communication skills in both English and bilingual capabilities are highly desirable.
- Knowledge of phone etiquette, office management procedures, and customer service best practices is essential.
- Experience with calendar management, filing systems, proofreading documents, and basic bookkeeping enhances candidacy.
