Duties

  • Manage complex calendars, schedule appointments, and coordinate meetings for executive staff
  • Handle multi\-line phone systems with professionalism, practicing excellent phone etiquette and customer support skills
  • Maintain organized filing systems, data entry records, and ensure accurate document proofreading
  • Assist with bookkeeping tasks using QuickBooks accounting software to track expenses and invoices
  • Support office management by overseeing supplies, equipment maintenance, and general administrative functions
  • Provide personal assistant support to executives, including travel arrangements, calendar management, and task prioritization
  • Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent computer literacy including data entry, proofreading, and document formatting
  • Bilingual fluency preferred; ability to communicate effectively in multiple languages is a plus
  • Experience with multi\-line phone systems, front desk operations, and customer service excellence
  • Knowledge of QuickBooks or bookkeeping software is advantageous
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Previous experience as a medical or dental receptionist or personal assistant is beneficial but not required
