This individual communicates clearly and professionally, manages competing priorities independently, and understands when escalation is appropriate. Experience in healthcare or academic settings, along with familiarity with institutional systems and strong technical skills, is preferred.

Minimum $45,500\.00 \- Midpoint $57,000\.00 \- Maximum $68,500\.00

  • KEY RESPONSIBILITIES

    Department Operations

  • Manage multiple complex projects, including composing and preparing correspondence, agendas, meeting announcements, and departmental documents with emphasis on Houston Area Location faculty needs
  • Serve as liaison with the Radiation Safety Committee, maintain radiation badge rotations, and communicate updates to department staff
  • Conduct regular meetings with the Office Manager to review departmental needs, project status, and ensure consistent alignment and representation of Houston Area Location faculty
  • Assist with development, documentation, and maintenance of departmental processes to streamline operations and support faculty integration
  • Support the Office Manager with onboarding, orientation, and training of new employees to ensure adherence to departmental standards
  • Administrative and Faculty Support

  • Coordinate faculty travel arrangements and maintain travel records using the Concur system, with focused support for Houston Area Location faculty
  • Manage faculty calendars, prioritize scheduling needs, and provide backup calendar support as required
  • Serve as backup administrative support for assigned physicians and respond to departmental mainline calls as needed
  • Prepare presentations and materials for meetings, conferences, and academic events highlighting faculty contributions
  • Research and Academic Support

  • Assist faculty with grant submissions, progress reports, and maintenance of grant documentation
  • Prepare and submit research protocol applications, amendments, and informed consent documents
  • Support manuscript preparation and academic documentation in alignment with faculty research activities
  • Financial and Budget Management

  • Establish and maintain expenditure databases to support physician budget controls
  • Prepare and distribute monthly budget and expense reports
  • Calculate expenses, prepare reimbursement requests, and ensure timely processing of payments
  • Maintain accurate records of invoices, business expenses, and travel\-related financial activity
  • Other Duties

  • Perform additional duties as assigned to support departmental operations and faculty needs
  • EDUCATION

  • Required: High School Diploma or Equivalent
  • Preferred: Associate's Degree or
  • Preferred: Bachelor's Degree
  • WORK EXPERIENCE

  • Required: 5 years Administrative/secretarial experience. or
  • Required: 3 years Required experience with Associate's degree. or
  • Required: 1 year Required experience with Bachelor's degree.
  • OTHER REQUIREMENTS: Must pass pre\-employment skills test as required and administered by Human Resources.
