A.S. is a non\-profit auxiliary corporation serving the students of San Jose State University whose primary source of funding is from mandatory student body fees. A.S. The Marketing Assistant is responsible for providing assistance and support for Associated Students (A.S.) marketing campaigns and projects, campus and vendor relationship building, and special promotions supporting Associated Students. This position will focus on delivering a consistent image and deepening awareness of A.S. programs, events and services.
Essential Functions
=======================
The A.S. Marketing Department position requires collaboration to develop and execute multi\-channel campaigns promoting Associated Students' programs and services to boost engagement and utilization.
### Newsletter \& Digital Engagement (Spartan Scoop \& Sammy App)
* Content Strategy: Writes and edits monthly newsletter content and curates Sammy App resources to drive student engagement and brand awareness.
* Strategic Alignment: Develops project management systems to track internal marketing toolkits and ensure app content aligns with various A.S. sub\-departments and SJSU partners.
* Optimization: Manages platform health and analyzes engagement data to continuously improve the reach of digital communication channels.
### Content Creation \& Social Media Strategy
* Multi\-Platform Execution: Develops, creates, and monitors engaging content (captions, videos, graphics) for Instagram and Facebook; ensures brand alignment through a manager\-approval workflow for all static posts.
* Event Coverage \& Live Engagement: Attends campus events to capture high\-quality content; maintains the autonomy to post live video updates while coordinating with leadership for story and feed\-post approval.
* Collaborative Video Production: Collaborates with the marketing team, Board of Directors, and campus partners (affiliates and department representatives) to strategically plan and execute video production.
* Campaign Promotion: Amplifies departmental campaigns, surveys, and applications by distributing links and strategic calls\-to\-action across all digital channels.
* Trend Reporting: Researches and monitors social media trends and campus news to produce a Weekly Trend Report, ensuring A.S. communications remain timely and community\-focused.
### Promotional Procurement \& Vendor Relations
* Promotional Procurement: Supports the department by sourcing both SJSU\-approved and diverse external vendors; coordinates the administrative lifecycle of orders, including quote acquisition, pricing negotiation, and shipment tracking.
* Vendor \& Partner Coordination: Serves as the initial administrative contact for merchandise vendors, media partners, and event creators; facilitates relationship development and acts as the first line of resolution for order or service discrepancies prior to escalation.
### Administrative \& Technical Support
* Departmental Operations: Supports the Marketing Manager by maintaining the monthly office supply inventory and coordinating internal meetings and special requests.
* Design Competition Management: Facilitates the technical submission process for design competitions, including the management of entry forms and the accurate uploading of creative assets.
* Digital Data Collection \& Analysis: Manages the creation and organization of departmental information through the development of Google Forms and RSVP tracking links; performs basic data analysis to identify student engagement trends and provide actionable insights for future campaigns.
* Campus Representation: Serves as a professional representative of Associated Students at campus\-wide and special events as assigned.

* Weekly Department Meetings: Held on Fridays (schedule may adjust based on team availability).
* Marketing Department Staff Training: Bi\-semester professional development sessions; dates to be determined and communicated in advance.
* CMEG Student Assistant Training: Mandatory full\-day orientation sessions for all CCCAC, Marketing, Events, and Garden staff.
* Fall 2026: August 18, 11:30 AM – 5:00 PM.
* Spring 2027: January (Date/Time TBD).
Note: These training dates are set well in advance to ensure they can be accommodated in student schedules, as they are considered essential for success in the role.
Work Schedule \& Hours
* Availability: This is a part\-time position requiring availability Monday–Friday between the hours of 8:00 AM and 5:00 PM.
* Weekly Commitment: Minimum of 15 hours and a maximum of 20 hours per week during the academic semester.

+ Academic Breaks \& Holidays: Opportunities to extend hours during winter, spring, and summer breaks are optional and based on student preference.
+ Operational Adjustments: Total hours and daily schedules may be adjusted based on executive decisions regarding campus operation hours or departmental needs.

* Technical Proficiency: Proficient in or able to quickly learn Constant Contact (including email marketing best practices such as open rates and A/B testing) and the Sammy App for campus engagement.
* Design Tools: Proficient in Adobe Creative Suite (Photoshop, Illustrator, Express), Canva Pro, and other design tools to create brand\-aligned graphics.
* AI Literacy (Human\-First): Proficiency in Assistive (e.g., Grammarly, automation) and Generative AI (e.g., ChatGPT, Adobe Firefly) to augment marketing workflows while prioritizing human creativity, brand authenticity, and ethical judgment.
* Social Media Expertise: Strong understanding of platforms including Instagram, TikTok, Facebook, and LinkedIn, including algorithms, engagement metrics, and best practices.
* Communication: Ability to translate complex information into clear, engaging content for diverse student audiences across newsletters, mobile app notifications, and social media.
* Organizational Voice: Excellent written and verbal communication skills with the ability to maintain a consistent organizational voice.
* Management: Strong organizational and time management skills; ability to manage multiple projects and meet deadlines.
* Judgment: Good judgment in prioritizing tasks and determining appropriate reporting methods based on project urgency.
* Interpersonal Skills: Strong interpersonal skills for working with diverse teams and stakeholders.

- + Enrollment: Must be a current SJSU student.
- Concentration in Journalism, Communications, Public Relations, or Marketing.
- Experience with Content Management Systems (CMS) or Project Management software.
+ Platform Experience: Proven experience using social media platforms (Instagram, Facebook) and email marketing tools (Constant Contact) is preferred but not required, as comprehensive training will be provided.
+ Software: Experience with Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams) and Google Workspace (Docs, Sheets, Slides, Gmail, Meet). Familiarity with collaboration tools (e.g., Slack, Asana) and industry\-standard marketing and content creation tools (e.g., Canva, Adobe Express/Creative Cloud, etc.) is a plus.
