Job Summary:

We are seeking a detail\-oriented candidate to support our Controller, while also managing various office administrative duties. This role will assist with financial data management, accounts receivable and payable data entry, maintaining customer, project, and vendor records, and serving as the first point of contact for visitors and incoming calls. The ideal candidate is organized, professional, and comfortable balancing administrative and accounting support tasks.

Key Responsibilities:

  • Provide administrative and reporting support to the Controller.
  • Perform data entry for Accounts Receivable (AR) and Accounts Payable (AP).
  • Assist with preparing financial and operational reports, as requested.
  • Maintain and update customer and project records in the company system.
  • Set up and maintain vendor profiles in the accounting system.
  • Track and maintain required vendor documentation, including W\-9 forms and Certificates of Insurance (COI).
  • Verify financial data for accuracy and completeness.
  • Organize and maintain financial records and supporting documentation.
  • Pull AP bill payment documents, send remittances, and scan into system.
  • Receive and distribute mail and deliveries.
  • Provide general administrative support to office staff as needed.
  • Work Environment:

  • Office\-based role supporting both front desk operations and the accounting department.
  • Collaborative environment working closely with the Controller and administrative staff.
  • Part time position working in the office daily Monday through Friday with ideal schedule of 10:00 a.m. to 2:00 p.m.

    Requirements:

    Qualifications:

  • ? Previous office administration, receptionist, or accounting support experience preferred.
  • ? Basic understanding of Accounts Receivable and Accounts Payable processes.
  • ? Proficiency in Microsoft Excel and other spreadsheet tools.
  • ? Strong attention to detail and organizational skills.
  • ? Excellent communication and customer service skills.
  • ? Ability to manage multiple tasks in a fast\-paced office environment.
  • Preferred Skills

  • ? Experience working with Accounting system QuickBooks Online
  • ? Familiarity with vendor compliance documents such as W\-9s and Certificates of Insurance.
