Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression at all times
- Answer multi\-line phone systems promptly and professionally, directing calls accurately
- Manage appointment scheduling and calendar coordination using digital tools like Google Workspace or Microsoft Office
- Handle data entry, filing, and document proofreading to maintain accurate records
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Maintain a clean, organized front desk area to promote a welcoming environment
- Assist with clerical duties including typing correspondence, managing customer support inquiries, and providing general administrative support
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent customer service skills with professional phone etiquette and interpersonal communication abilities
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi\-line phone systems and data entry procedures
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast\-paced environment
- Experience in medical or dental receptionist roles or personal assistant positions is a plus but not required
- Knowledge of bookkeeping tools such as QuickBooks is advantageous
- Ability to manage time effectively while handling multiple responsibilities simultaneously
