  • This position works as a detail\-oriented and collaborative accounts payable/accounts receivable supervisor to support critical financial processes that keep our programs running smoothly and efficiently. This role provides oversight in accounts payable, accounts receivable, and financial reporting, while ensuring full compliance with Generally Accepted Accounting Principles (GAAP), county policies, and state and federal requirements.

    Key Responsibilities:

  • Provides processing oversight for accounts payable and accounts receivable activities.
  • Reviews, analyzes, and reports on financial data from multiple systems including JP Morgan Chase, Bank of America, FOCUS (SAP), and more.
  • Supports DFS Fiscal Leadership with audit requests.
  • Ensures accuracy of accounts payable postings and manages payment documents.
  • Oversees the DFS Travel Program and Gift Card Program, including procurement card management, funds reservations, high priority payments, vendor setup, and employee reimbursements.
  • Serves as a primary point of contact for DFS staff regarding finance and travel policies and procedures.
  • Conducts complex financial reconciliations and onsite gift card safe audits.
  • Monitors spending and funding availability to maintain accurate encumbrances.
  • Supports DFS Budget Unit with anticipated travel budget planning.
  • Assists Financial Specialists II and III with the monthly LASER reimbursement analysis and submissions.
  • Prepares audit documentation, as required, and preparation of ad hoc reports and analysis in support of accounts payable/receivable functions. Maintains accurate, clearly labeled documentation on all transactions and files. Ensures that records meet prescribed retention requirements.
  • Manages all incoming bank wire revenue including researching, tracking, processing, and reconciliation.
  • Collaborates with DFS program staff and key county partners including the Department of Finance and Department of Procurement and Material
  • Ensures policy compliance and timely financial processing.
  • Supervises an Administrative Assistant IV, including reviewing and approving reservations, payment documents, journal entries, and reallocations.

  • Ability to complete budget documents in accordance with the Department of Management and Budget.

  • MINIMUM QUALIFICATIONS:

    Any combination of education, experience, and training equivalent to the following:

    Graduation from an accredited four\-year college or university with a bachelor's degree in accounting; or a bachelor's degree in business administration or related field that has been supplemented by at least 6 credit hours of basic accounting principles and concepts.

    BRIDGE CLASS EMPLOYMENT STANDARDS:

    Four years of increasingly complex technical administrative experience in the assigned functional area, comparable to experience at the Administrative Assistant IV, or higher, level. This class can serve as a bridge class enabling individuals who do not meet the educational or professional experience standards listed above to qualify for this class by possessing four years of increasingly complex technical administrative experience in the assigned functional area, comparable to experience at the Administrative Assistant IV, or higher, level.

    The purpose of this bridge class is to promote upward mobility within the Fairfax County workforce. However, persons qualifying for this class on the basis of their technical experience may not substitute this technical experience for education, or for professional experience, in order to qualify for other employment opportunities.

    PREFERRED QUALIFICATIONS:

  • Strong analytical skills and attention to detail.
  • Experience with accounts payable, accounts receivable, procurement, or financial reconciliations.
  • Ability to interpret and apply financial and administrative policies.
  • Experience supervising or providing oversight to administrative or financial staff.
  • Strong communication and customer service skills with the ability to advise staff on financial processes.
  • Proficiency with financial systems (SAP preferred) and Microsoft Office applications.

NECESSARY SPECIAL REQUIREMENTS:

The appointee to this position will be required to complete a criminal background check, credit check, and a Child Protective Services check to the satisfaction of the employer.PHYSICAL REQUIREMENTS:

Ability to work on\-site in an office environment.

Ability to use office equipment, to include copiers, scanners, and computers (including MS Office software and county applications)

Ability to file and retrieve hard copy files from a high file cabinet.

Ability to work with customers and coworkers in person, over the phone, and through video conferencing (Including MS Teams and Zoom). All duties may be performed with or without reasonable accommodations.
