Duties
- Manage daily office operations, including filing, data entry, and document proofreading to ensure accuracy and organization.
- Support bookkeeping activities using QuickBooks to maintain financial records and process invoices efficiently.
- Oversee front desk responsibilities such as greeting visitors, answering multi\-line phone systems, and providing professional phone etiquette.
- Coordinate calendar management and schedule appointments or meetings using Google Workspace and Microsoft Office tools.
- Assist with office management tasks like maintaining supplies, organizing files, and ensuring the workspace remains productive.
- Provide exceptional customer service by responding promptly to inquiries via phone or email, offering support or directing calls appropriately.
- Handle clerical duties such as filing, data entry, and managing correspondence to keep administrative workflows streamlined.
- Prior office experience with strong organizational skills and proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint).
- Demonstrated experience in clerical or administrative roles with excellent typing speed and attention to detail.
- Familiarity with QuickBooks accounting software and general bookkeeping practices is highly desirable.
- Bilingual abilities are a plus, especially if fluent in languages commonly used in customer support or office communication.
- Experience managing multi\-line phone systems, calendar coordination, and office management tasks is preferred.
- Strong phone etiquette skills combined with excellent organizational and time management abilities are essential for success in this role.
- Personal assistant or office management experience that includes handling confidential information will be highly valued.
