Part\-Time Office Assistant – Functional Health Institute (Poway/La Jolla Remote Flex)About Us:

The Functional Health Institute is a patient\-focused functional medicine practice specializing in autoimmune, gut healing, and lifestyle\-based programs. We provide structured 3\-phase programs supported by clinical oversight, health coaching, and cutting\-edge supplement protocols. Our mission is to deliver measurable outcomes while creating a seamless patient experience.

Position Overview:

We are seeking a part\-time Medical Assistant to support our Functional Health Institute programs. This role is dedicated to FHI (not shared with other clinics) and focuses on preparing patient charts, tracking labs, supplement adherence, and managing program workflows. A key component of this role is familiarity with HubSpot to track patient progress and tasks.

Key Responsibilities:

  • Pre\-visit chart preparation: medications, supplements, labs
  • Track labs and follow\-up requirements using
  • Practice Better \+ HubSpot

  • Ensure compliance with biologic therapy monitoring (PPD, Hep panel, CXR)
  • Flag incomplete charts or missing data before physician review
  • Support health coaches with program logistics (not coaching)
  • Maintain accurate patient records and documentation
  • Coordinate with Office Manager and FPC for seamless patient workflow
  • Qualifications:

    Required:

  • Certified Medical Assistant (CMA) or equivalent
  • 2\+ years clinical experience (outpatient preferred)
  • Familiarity with
  • HubSpot or other CRM/task\-tracking systems

  • Experience with labs, vitals, and supplement tracking
  • Highly organized, detail\-oriented, and proactive
  • Preferred:

  • Experience in
  • functional or integrative medicine

  • Knowledge of autoimmune labs, gut healing, Monitoring
  • Comfortable using EMR systems (Practice Better preferred)
  • Soft Skills:

  • Excellent communication and teamwork
  • Able to work independently with minimal supervision
  • Process\-driven and checklist\-oriented
  • Schedule:

  • Part\-time, 1–2 days per week (flexible schedule aligned with FPC sessions)
  • Potential to expand hours as patient volume grows
  • Duties

  • Manage front desk operations, including greeting patients, scheduling appointments, and handling multi\-line phone systems with professionalism and courtesy
  • Maintain accurate records using Practice Better.
  • Oversee office management tasks such as filing, data entry, and organizing patient files to ensure seamless workflow
  • Provide exceptional customer support by addressing patient inquiries via phone, email, or in person with excellent phone etiquette and organizational skills
  • Develop, curate, and post engaging content across various social media platforms to increase community engagement and promote services
  • Monitor social media analytics to optimize content strategy and expand online reach
  • Coordinate calendar management for practitioners, including appointment scheduling and reminder systems using Google Workspace and Microsoft Office tools
  • Experience

  • Prior office experience in a healthcare or wellness setting is highly preferred
  • Demonstrated proficiency with QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace applications
  • Strong clerical and administrative skills including typing, proofreading, filing, data entry, and calendar management
  • Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment
  • Previous experience managing social media accounts or digital marketing campaigns is desirable
  • Personal assistant or office management experience that showcases strong time management and customer service skills
