The Des Moines Area Regional Transit Authority (DART) is the largest public transit agency in Iowa. DART provides transportation anyone can access through services that include 25\+ bus routes, paratransit, on demand and on call. Resources support those who vanpool, walk or bike to move through the region in an efficient and affordable way.
The Administrative Assistant provides high\-level support for two to three executive leaders and their teams while serving as primary office support at DART Central Station. This role manages complex calendars, travel, office operations, and meetings/events, ensuring efficient use of leadership time through proactive coordination, sound judgment, and strong attention to detail. The position requires exceptional customer service, the ability to manage multiple priorities simultaneously, and a high level of professionalism when interacting with internal and external stakeholders.
POSITION RESPONSIBILITIES INCLUDE:
Executive Assistance
- Manage calendars for two to three leaders, prioritizing requests and protecting executive time
- Prepare and review documents, reports, presentations, and meeting materials, including Commission reports, project and meeting documentation, and stakeholder presentations
- Reconcile procurement, travel, and credit cards expenses
- Perform additional duties as assigned
- Provide administrative and clerical support as directed, with a focus on duties at DART Central Station
- Serve as a front\-line contact: greet visitors, respond to inquiries, and support reception as needed
- Provide high\-volume call support and backup to customer service
- Manage mail, supplies, inventory, and shared office spaces
- Support onboarding logistics and general office/facility needs
- Coordinate maintenance and service for office equipment
- Provide backup support across departments as needed
- Coordinate travel arrangements and track related budgets
- Manage travel/training documentation, including grant\-related records
- Schedule and track use of vehicles, parking passes, and meeting spaces
- Coordinate meeting logistics (in\-person, virtual, hybrid), agendas, technology, and materials
- Attend meetings, record minutes, and track follow\-ups
- Serve as the primary administrative support for the Transit Rider Advisory Committee
- Plan and coordinate internal events, public meetings, and department initiatives
- Ensure strong execution through organization and attention to detail
- Associate’s degree in business, public administration, or related field preferred
- Five (5\) years of administrative experience
- Strong organizational, time management, and multitasking skills with the ability to manage competing priorities in a fast\-paced environment
- Ability to exercise sound judgment, solve problems proactively, and work independently with high attention to detail
- Excellent verbal and written communication skills, including the ability to present information clearly and professionally
- Strong interpersonal skills with the ability to build effective working relationships and deliver high\-quality customer service
- Proficiency in Microsoft Office and other standard office technologies; ability to quickly learn new systems and software
- Knowledge of general office practices, business writing, and administrative procedures
- Ability to handle sensitive information with discretion and professionalism
- Strong recordkeeping, data management, and basic analytical/research skills
- Ability to support meetings, reports, and presentations with accuracy and efficiency
- Working knowledge of DART operations, policies, and service area geography (or ability to quickly learn)
- Prolonged sitting and frequent computer use
- Use of hands and fingers for typing and handling documents
- Ability to communicate effectively (hearing and speaking)
- Routine lifting under 10 pounds; occasional lifting up to 50 pounds
- Primarily office\-based in a climate\-controlled environment
