Job Overview

We are seeking a dynamic and highly organized Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient administrative workflows, supporting staff, and providing exceptional customer service. Duties

  • Manage front desk operations, including greeting visitors, answering multi\-line phone systems, and directing calls with professional phone etiquette
  • Oversee calendar management and appointment scheduling for staff and executives using Google Workspace or Microsoft Office tools
  • Maintain accurate filing systems, data entry records, and perform proofreading to ensure document accuracy and professionalism
  • Handle clerical tasks such as photocopying, faxing, scanning, and organizing office supplies to support daily activities
  • Provide exceptional customer support by addressing inquiries promptly and assisting clients or visitors with their needs
  • Support bookkeeping activities using QuickBooks or similar accounting software to manage invoices, expenses, and financial records
  • Coordinate office management tasks such as ordering supplies, managing office equipment, and ensuring a clean and organized workspace
  • Assist with personal assistant duties when needed, including travel arrangements or special project support
  • Implement efficient time management strategies to prioritize tasks effectively and meet deadlines
  • Requirements

  • Proven experience in office management or administrative roles with strong clerical skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with QuickBooks for bookkeeping and financial record\-keeping
  • Excellent organizational skills with keen attention to detail; ability to multitask effectively
  • Strong computer literacy and data entry skills; comfortable with office equipment and multi\-line phone systems
  • Exceptional customer service skills coupled with professional phone etiquette
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Previous experience as a dental or medical receptionist is advantageous but not required
  • Personal assistant experience or calendar management expertise is highly desirable
  • Ability to proofread documents accurately and maintain high standards of professionalism
