Duties
- Manage complex calendars, schedule meetings, and coordinate appointments for executive staff with precision and efficiency
- Handle incoming calls using multi\-line phone systems, practicing professional phone etiquette and providing excellent customer support
- Maintain organized filing systems, perform data entry, and ensure accurate record\-keeping using tools like Microsoft Office, Google Workspace, and QuickBooks
- Serve as the front desk receptionist, greeting visitors warmly and directing them appropriately while maintaining a professional office environment
- Assist with bookkeeping tasks, including invoicing and expense tracking, utilizing QuickBooks or similar accounting software
- Support office management activities such as supply ordering, filing, proofreading documents, and managing office supplies inventory
- Provide personal assistant support to executives by managing travel arrangements, calendar management, and task prioritization
- Deliver exceptional customer service by responding promptly to inquiries via phone or email and supporting client or patient needs in medical or dental settings if applicable
- Proven experience as an executive assistant or in a similar administrative role within an office environment
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools
- Demonstrated ability to manage multiple priorities efficiently with excellent time management skills
- Previous experience with office management tasks such as filing, proofreading, and clerical duties
- Bilingual capabilities are highly desirable to serve diverse client bases effectively
- Familiarity with multi\-line phone systems, front desk operations, and customer service best practices
- Experience working in medical or dental reception is a plus but not required; relevant personal assistant experience is valued highly
