Duties

  • Greet visitors and clients with a friendly, professional demeanor, ensuring they feel welcomed and attended to promptly
  • Answer multi\-line phone systems efficiently, directing calls accurately and courteously
  • Manage appointment scheduling and calendar management using digital tools like Google Workspace or Microsoft Office
  • Handle data entry, filing, and document proofreading to maintain accurate records and organized files
  • Support office management tasks including supply ordering, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Provide exceptional customer service by addressing inquiries both in person and over the phone with proper phone etiquette
  • Assist with clerical tasks such as typing correspondence, managing office emails, and supporting administrative projects
  • Requirements

  • Proven experience in office management or as a receptionist with strong clerical skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Strong communication skills; bilingual abilities are highly desirable for serving diverse clients and visitors
  • Experience with multi\-line phone systems, data entry, filing, proofreading, and customer support roles
  • Knowledge of office equipment including printers, scanners, and fax machines
  • Previous experience in medical or dental reception is a plus; familiarity with calendar management and personal assistant duties is beneficial
  • Demonstrated professionalism in phone etiquette and customer service interactions
  • Ability to handle confidential information discreetly while maintaining a friendly demeanor
