ABOUT THE ROLE
The Catering \& Meal Delivery Operations Coordinator supports daily operations, client communication, and event logistics, helping keep the business organized, responsive, and running smoothly. This role is ideal for someone who is highly organized, proactive, and excited to grow with a small but rapidly expanding multi\-concept culinary brand.
This role blends hands\-on event support with flexible administrative work. Events may take place any day of the week, including evenings and weekends, so availability is required as needed. Administrative responsibilities provide scheduling flexibility, including the possibility of remote work.
This is a part\-time administrative position with clear growth potential, including the opportunity to expand into a full\-time management role as the business scales. There is also opportunity to work events for additional income and tips.
THE RESPONSIBILITIES
Administrative Support
- Manage scheduling and calendar coordination
- Own weekly inventory accuracy and management
- Draft and organize client and vendor emails
- Track internal deadlines and to do lists
- Maintain shared files, documents, and systems
- Support light bookkeeping and invoice tracking
- Coordinate vendors and assist with local errands when needed
- Respond and track inbound catering inquiries
- Prepare proposals, contracts, and invoices using templates
- Perform on\-site visits to determine meal prep, load\-in/out, rentals, and service logistics
- Track event timelines, rentals, staffing details, and production notes
- Coordinate with the kitchen team to confirm event details
- Monitor booking deposits and final invoice payment schedules
- Help ensure food presentation, rentals, staffing, and set\-up align with event plans
- Serve as onsite support to confirm details are executed properly
- Assist with troubleshooting and coordination during events
- Support breakdown and post event follow up as needed
- 2\+ years hands\-on administrative/executive assistant experience
- Food industry experience with a passion for upscale, chef\-driven cuisine, or a clear desire to develop that passion within the culinary field
- Clear and proactive communicator who follows through consistently
- Thrives while managing multiple priorities in a fast\-paced environment
- Proficient in Google Workspace, including calendaring and spreadsheets
- Ability to lift up to 40 pounds occasionally and perform light physical daily tasks
- Own vehicle and valid driver’s license required

QUALIFICATIONS
COMPENSATION
$25–$30/hour for candidates with 2\+ years of experience, with flexibility to offer higher pay for those with additional experience managing operations and running events end to end.
