Kapsuun Group is seeking a highly organized and detail\-oriented Administrative Assistant to provide comprehensive administrative and office support services at the NASA Glenn Research Center. This role requires the ability to manage complex administrative operations, support multiple stakeholders, and work independently in a fast\-paced, mission\-driven environment. The ideal candidate demonstrates professionalism, discretion, exceptional organizational skills, and a strong commitment to customer service while supporting government operations.
Responsibilities
- Provide professional front desk and telephone support, including call screening, routing, and message management
- Manage and coordinate calendars, schedules, and appointments for leadership and staff
- Coordinate visitor services, including badging, escorts, and logistics
- Prepare, edit, format, and process correspondence, reports, memoranda, and presentations
- Maintain desktop publishing and correspondence tracking systems
- Plan and coordinate meetings, conferences, and special events (in\-person and virtual)
- Schedule and manage conference rooms and telecommunications services
- Prepare meeting agendas, materials, minutes, and follow\-up documentation
- Support virtual meeting platforms and audiovisual requirements
- Maintain records and filing systems in compliance with federal and NASA policies
- Conduct administrative research and process specialized documentation
- Manage data entry, tracking systems, and reporting tools
- Disseminate information accurately to internal and external stakeholders
- Order office supplies and maintain inventory levels
- Perform general office support functions (copying, faxing, graphics, and photo services)
- Coordinate employee travel arrangements and process travel documentation
- Track and maintain time and labor records
- Assist with property and asset tracking and documentation
- Coordinate office moves and workspace transitions
- Support onboarding activities and training coordination
- Provide high\-level administrative support to management and technical teams
- Serve as a liaison between departments, vendors, and government personnel
- Maintain professionalism and confidentiality when handling sensitive information
- Support special projects and perform additional duties as assigned
- High school diploma or GED equivalent
- 2\+ years of college\-level coursework in business or a related field (or equivalent experience)
- 2\+ years of administrative or office support experience
- Experience conducting administrative research and processing specialized documents
- Must be able to pass a background check
- Demonstrated ability to manage multiple priorities with minimal supervision
- Strong organizational, communication, and customer service skills
- Ability to maintain confidentiality and exercise discretion
- Proficiency in Microsoft Word, Excel, and PowerPoint
- Strong written and verbal communication skills
- Excellent listening and interpersonal skills
- High attention to detail and organizational accuracy
- Customer serviceoriented mindset
- Ability to work independently and collaboratively in a government environment
