Position: Human Resources Assistant (HR Admin)

Core Responsibilities
- Enter and maintain employee data in HR systems (address, phone, email, direct deposit, tax withholdings, etc.)
- Process wage adjustments and employee status changes accurately and timely
- Maintain accurate employee records across all platforms (digital and physical)
- Conduct routine audits of employee files to ensure compliance and completeness
- Coordinate full\-cycle onboarding administration (file setup, paperwork, system entry)
- Prepare new hire folders for training day and ensure all required documentation is completed
- Facilitate I\-9 verifications (in\-person and remote/virtual) and ensure compliance
- Support onboarding orientation logistics and documentation
- Respond to employee questions related to benefits, payroll, and general HR inquiries
- Assist with open enrollment processes, including communication and data entry
- Support employee changes related to benefits and personal information
- Maintain I\-9 records, audit files, and ensure compliance with federal/state requirements
- Support audits (I\-9, EEO, veteran reporting, confidentiality forms, etc.)
- Assist with garnishment audits and documentation tracking
- Generate standard HR documents (offer letters, verification of employment, etc.)
- Maintain organized employee files including medical and workers’ compensation documentation
- Ensure confidentiality and proper handling of sensitive information
- Track and maintain required documentation for compliance and internal standards
- Perform data entry, filing, copying, scanning, and mailing
- Manage incoming HR mail and route appropriately (including unemployment correspondence)
- Assist with scheduling HR training, meetings, and onboarding sessions
- Support employee surveys administration (distribution, tracking, documentation)
- Maintain inventory of onboarding materials, forms, PPE\-related documentation, and office supplies related to HR
- Ensure materials are stocked, organized, and available for use
- Assist with special reports and HR projects as needed
- Support HR team with day\-to\-day administrative needs
- Perform other duties as assigned
- Strong attention to detail and accuracy
- Ability to manage repetitive tasks efficiently within scheduled working hours
- High level of organization and confidentiality
- Ability to work independently with minimal supervision
- Proficient in Microsoft Office; experience with HRIS systems preferred
- 1–3 years of administrative or HR support experience preferred
- Demonstrates a strong commitment to safety in all tasks

- Ability to occasionally lift and/or move items up to 25 pounds (e.g., office supplies, boxes, materials)
- Ability to reach, bend, stoop, and carry items as needed to support office organization and operations
- Ability to visually read documents and computer screens and maintain attention to detail
- Ability to communicate effectively in person, via phone, and through written communication
- Ability to move throughout the office and exterior areas to inspect conditions, check inventory, or coordinate tasks
- Ability to tolerate typical office environments, including moderate noise levels and frequent interruptions
- Monday – Friday, 7:00 AM – 4:00 PM (40 hours/week)
- Work Schedule Flexibility: This role requires adherence to the assigned schedule. Hours and days are subject to change or increase based on business needs, operational demands, and company growth.
