Position Overview:
The Project Billing Coordinator is responsible for supporting accurate and timely project administration by managing timesheet review, project setups, billing, and collections. This role supports the full project life cycle, ensuring data integrity, compliance with contract terms, and adherence to established billing schedules. The Project Billing Coordinator works closely with Project Managers, Operations, and Accounting to process client billings, maintain unbilled balances, and support consistent cash flow.
Responsibilities:
- Review and audit employee timesheets for accuracy and completeness; ensure timely approvals.
- Set up new projects in the ERP (Enterprise Resource Planning) software platform, including contract details, billing terms, and required documentation.
- Maintain and update project records throughout the project lifecycle.
- Generate and distribute unbilled reports to Project Managers and track billing responses.
- Prepare draft invoices and supporting documentation for Project Manager review.
- Process client billings for lump sum and time\-and\-materials projects.
- Submit invoices through client portals, pay applications, and other required billing platforms.
- Track purchase orders, extra purchase orders (EPO) requests, and other client billing requirements if necessary.
- Perform routine collection activities, not limited to following up on outstanding invoices and attending internal collections meetings.
- Communicate with Project Managers and clients to resolve billing and payment issues.
- Ensure ongoing data integrity and compliance within the ERP (Enterprise Resource Planning) software platform.
- High School Diploma or GED required
- Associate or bachelor’s degree in business, Project Management, or a related field preferred.
- 2\+ years of experience in project coordination, administrative support, or operations within a technical or service\-based industry.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with project management software (e.g., Deltek Vantagepoint, MS Project, Smartsheet, Monday.com) is a plus.
- Excellent verbal and written communication skills.
- Ability to work both independently and collaboratively in a fast\-paced environment.
- Familiarity with engineering, construction, or environmental services terminology and workflows is preferred.
- This position does not require regular travel as part of its primary responsibilities.
- However, occasional travel may be required, up to 10%, primarily for occasional off\-site meetings, training sessions, or company events.
- Travel, when necessary, will be communicated in advance and aligned with business needs.
- This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
- The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in\-person interactions.
- The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
- The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
