The Administrative Assistant provides general office support to ensure efficient daily operations. The responsibilities include answering phones, scheduling appointments, managing correspondence, maintaining records, and assisting with various administrative tasks to support team members and overall office functionality.

Communication: Answering phones, taking messages, directing calls, and managing incoming and outgoing mail and faxes.

Scheduling: Organizing and maintaining calendars, scheduling appointments, and coordinating meetings.

Record Keeping: Maintaining filing systems, databases, and other records.

Document Management: Preparing correspondence, memos, reports, and other documents.

Office Support: Assisting with general office tasks such as ordering supplies, preparing presentations, and handling expense reports.

Team Support: Providing support to other team members with administrative tasks and projects.

Organization and Time Management: Ability to prioritize tasks, manage multiple projects, and meet deadlines.

Communication Skills: Strong verbal and written communication skills for interacting with colleagues, clients, and other stakeholders. Ability to handle confidential information in a discrete manner is essential.

Computer Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Suite (Gmail, Docs, Sheets), Service Autopilot (SA), and other relevant software.

Attention to Detail: Accuracy and thoroughness play a critical role in handling tasks and maintaining records.

Problem\-Solving: Ability to identify and resolve issues independently.

Customer Service: Ability to provide excellent service to internal and external clients.

Miscellaneous: General office responsibilities that support whatever the company needs at the time, including special projects.

Qualifications

  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace applications.
  • Strong computer skills with a focus on clerical and administrative tasks.
  • Excellent customer service and communication skills.
  • Experience in data entry, filing, and calendar management.
