Responsibilities

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi\-line phone systems, directing calls efficiently and courteously
  • Handle all incoming correspondence, including emails, mail, and packages with accuracy and timeliness
  • Maintain organized filing systems, data entry records, and office supplies inventory
  • Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office
  • Support office management tasks such as proofreading documents, maintaining cleanliness, and overseeing clerical duties
  • Provide exceptional customer support by addressing inquiries, assisting with basic troubleshooting, and ensuring client satisfaction
  • Perform light bookkeeping tasks using QuickBooks or similar software when necessary
  • Assist with personal assistant duties including calendar management and task prioritization
  • Experience

  • Prior office experience or administrative support roles preferred; experience in medical or dental receptionist roles is a plus
  • Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Strong organizational skills with the ability to multitask effectively in a busy environment
  • Excellent phone etiquette with experience managing multi\-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Clerical experience involving data entry, filing, proofreading, and document management required
  • Knowledge of office management procedures and customer service best practices is essential
  • Experience with bookkeeping or personal assistant responsibilities will be viewed favorably
