Overview

We are seeking a highly organized and proactive Legal Executive Administrative Assistant to provide comprehensive support our Director. This role is essential in ensuring the smooth operation of daily activities, managing schedules, mediations, collective bargaining notes and facilitating communication within the organization. The ideal candidate will possess exceptional multitasking abilities and have a keen attention to detail, making them an invaluable asset to our team. It is essential that this individual has excellent written and verbal communication skills.

Responsibilities

  • Provide executive administrative support, including managing calendars and scheduling appointments.
  • Managing files and notes for grants and grant submissions;
  • Coordinate projects and ensure timely completion of tasks.
  • Plan and organize events, meetings, and conferences, including logistics and materials preparation.
  • Assist with personal assistant duties as required by executives.
  • Utilize Google Suite for document creation, management, and collaboration.
  • MyCase Experience is a plus.
  • Maintain organized files and records for easy access and retrieval.
  • Handle DocuSign processes for document signing and approvals.
  • Utilize QuickBooks for basic financial tracking and reporting as needed.
  • Proofread documents to ensure accuracy and professionalism before distribution.
  • Skills

  • Proficiency in Google Suite applications (Docs, Sheets, Slides).
  • Proficiency in Outlook Calendar
  • Strong project coordination skills with the ability to manage multiple tasks simultaneously.
  • Experience in event planning with a focus on detail\-oriented execution.
  • Previous experience as a personal assistant or in an executive support role is preferred.
  • Excellent calendar management skills to optimize executive schedules effectively.
  • Familiarity with DocuSign for electronic document management.
  • Basic knowledge of QuickBooks is a plus but not required.
  • Exceptional proofreading skills with a strong command of grammar and style.
