OneStop Pro Plumbing Heating Cooling \& Electric is a family\-owned home services company based in Wheaton, IL, serving Chicagoland since 2007\. We run a modern, tech\-forward operation and we move fast. We're looking for a right\-hand assistant to the owner — someone who can help execute on vision, not just check boxes. This is a role for someone who is sharp, organized, comfortable with technology, and genuinely interested in being part of building something.
What you'll do
Meetings \& follow\-through
Schedule, organize, and facilitate meetings on behalf of the owner
Record meeting notes and outcomes, then process them into our AI systems and central knowledge base
Turn meeting outcomes into action items — assign, schedule, track, and follow up until closed
Maintain running records of decisions, priorities, and projects in our project management system
Social media \& content scheduling
Schedule and publish approved content across our social media platforms (Facebook, Instagram, Google Business Profile)
Manage the content approval pipeline — pull job photos from our field app, route through Slack for owner sign\-off, then post
Assist with drafting captions and post copy using AI tools based on provided guidelines
Maintain a consistent posting schedule and flag gaps or bottlenecks in the content pipeline
Video production support
Help facilitate and organize video creation — scheduling shoots, coordinating logistics, and keeping the pipeline moving
Receive raw footage and deliver it to third\-party editors — organized, labeled, and with clear direction
Track video projects from shoot to final delivery — follow up with editors, manage revisions, confirm deadlines
Ensure finished content gets into the right platforms and channels once editing is complete
Vision support \& execution
Take the owner's ideas and initiatives and help turn them into organized, executable plans
Input decisions and project notes into our AI tools and central business brain (we use AI heavily — you need to be comfortable here)
Coordinate across people and platforms to make sure things actually get done
Ordering, admin \& office
Order and track truck signs, vehicle graphics, uniforms, and branded materials
Organize and file scanned documents, receipts, and job paperwork
Assist with customer review responses, estimate follow\-ups, and day\-to\-day communications
Support basic QuickBooks recordkeeping and help keep financial records current
Run local errands as needed (Wheaton/Chicagoland area)
Who you are
Technically fluent — you pick up new software fast, you're not intimidated by new tools, and you adapt without needing step\-by\-step instructions every time
Comfortable using AI tools daily — ChatGPT, Claude, or similar — for drafting, organizing, and getting things done faster
A strong executor — you take a direction and figure out the steps, you don't wait to be told how to get there
Detail\-oriented and organized — nothing falls through the cracks on your watch
Proactive communicator — you surface problems early and keep people informed without being asked
Comfortable in a fast\-moving small business — priorities shift, and you adjust without losing the thread
Access to a vehicle for local errands
Bonus points
Experience with Housecall Pro, Slack, QuickBooks, or a CRM platform
Background in content creation, social media management, or video production coordination
Prior experience supporting a business owner or executive in a small business environment
Experience in home services, trades, or construction
Pay: $20\.00 \- $25\.00 per hour
